2484065 - Explanation of the expiration date in user record for assigned curricula section

Symptom

This KBA addresses some commonly asked questions regarding the Expiration Date in User's Assigned Curricula section in the Learning Admin UI:

  • What is expiration date at the user assigned curricula level?
  • How can the date be changed?
  • What report shows the expiration date of curricula for the user?

Reproducing the Issue

  1. Login to Learning Administration
  2. Navigate to a User record (People > User > Search for users)
  3. In the related section, click Curricula
  4. Review the assigned curricula listed
  5. Note that some Curricula may have an expiration date
  6. This expiration date may not match the required date of the learning within the Curricula  

Cause

Expiration Date is not the same as the Required Date in LMS Curriculum

Resolution

Dates Explained:

Expiration date populates for the curriculum if the curriculum has retraining:

  • When system does the retraining assignment on the user's learning plan for the curriculum, the expiration date is populated
  • Note that the required date and expiration date are not same in the system
  • Expiration date is calculated by the system.

Expiration date by definition: The Curriculum expiration is the date that an already completed curriculum will no longer be complete if the user takes no action

  • This would be if there is at least one required item with a retraining period
  • Therefore, the expiration is the next retraining due date
  • The expiration date will not change by changing the required date since this is different than the retraining due date

Next Action Date (aka next Required Date):

  • This date will show the "Required Date" for the next learning requirement within the Curricula
  • This is the next time that a user must take action
  • Check the user's learning plan to see which learning item has the next due date

Example:

  1. Item CT_LMS is included in Curricula CT_CURR
  2. CT_CURR is assigned to User CT_USER
  3. The Curricula is setup to have retraining occur every 1 month
  4. Retraining Due Date will then be the end of each month
  5. The Item within the Curricula has a Requirement Date set of January 17, 2018
  6. CT_USER completed the Item November 22nd, causing the Curricula to be reassigned with a retraining Due Date of December 31, 2017
  7. Reviewing the Related > Curricula section in CT_USER's record, we see:
    • Expiration: December 31, 2017
    • Next Action: January 17, 2018

  8. Click Details and this is made a bit more clear since it shows the Requirement of the Items within the Curricula:
    • Required Date: January 17, 2018
    • Expiration Date: December 31, 2017

Changing the Date:

  • The retraining settings are what impacts the expiration date, so changing this is how you would change the expiration date
  • Requirement Dates, which impact the Next Action Date, are set at the Item level
