How to automatically remove the item from the learning plan for a waitlisted user after the class start date or cut off date?

Cause

There are two topics that must be reviewed:

  1. To remove the pending request.
  2. To remove the item from the user's learning plan if the class has started and the users are not enrolled in the class and are in the status of pending or waitlist.

Resolution

1) To remove the pending request -

You can remove a pending request via the "Purge Class Requests" automatic process. This automatic process purges item requests identified as no longer valid.

Navigation path: System Administration > Automatic Processes > Purge Class Requests.

The number of days that you insert in the "Threshold" box determines the requests that the system purges. For example, if you insert 365 in the Thresholdbox, then the system purges all requests that were made more than 365.

Note: The clean-up cannot be done from class to class basis, e.g.: If you want that after the class starts all those users who are not able to successfully register get a cleaned up, that is not possible.

2) To remove the item from the user's learning plan if the class has started and the users are not enrolled in the class and are in the status of pending or waitlist -

There is no procedure in the system to remove the item from the user's learning plan if the users are not enrolled in the class - e.g: Users are waitlisted.

This is an expected behavior since the user may want to look out for other available classes in the system, which are or would be available in future for the same item.

[The future classes will show up in the "Available Class" tile if the item is in the learning plan of user]

However there is a setting found in the System Administration > Application Administration > Registration Settings path called: "Remove associated item from learning plan when admin withdraws User(s) from class(s)".

If you enable it, as it says, when the admin withdraws the user from an class, it will remove the corresponding item from the user's learning plan.
