2510591 - Unable to Submit Attendance or Additional Hours on a Full‑Day Absence

Symptom

When attempting to record attendance/on-call on a day with an existing full‑day absence, the system prevents the entry and displays the following error message:
“A full‑day absence exists for the same period as the attendance on YYYY‑MM‑DD. You cannot create new time entries for YYYY‑MM‑DD when a full‑day absence already exists for this day.”

Reproducing the Issue

1. Request a full day absence for an employee.

2. In the employee's time sheet, record attendance/overtime outside the planned time(work schedule)

3. Error occurs: "A Full day absence exists for the same period as the Attendance on...>

Cause

This is an expected system behavior effective since the 1H 2021 release.
When an employee has a full‑day absence recorded, the system does not allow attendance or overtime to be recorded for the same day.
If such an overlapping entry is attempted, a collision error is triggered by design.

The corresponding alert message is displayed in the following locations:

  • Time Sheet UI
  • employee’s Time Alerts tab in Administer Time Workbench
  • Admin Alerts under Admin Alert Type > Import Time Sheets

Resolution

Current Behavior:

By design, attendance and leave/absence should not overlap for the same time period. Therefore, only one of the following should be recorded:

  • Attendance or
  • Absence

Recording both at the same time is not supported and will result in a collision error.

Workaround:

If, based on business requirements, neither the attendance nor the leave record should be canceled, you may consider using a Time Type categorized as Extra. This allows overlapping recording of attendance and absence when such a scenario is required.

The steps below can be followed to implement this approach.

  1. Navigate to Manage Data -> Create New 'Time Type' -> Set the classification as “extra”->Add the other required details and save.Extra_TimeType.jpg

  2. Add this Time Type to those employee's Time Profiles where it shall be allowed to record attendance for a day with full day absence. After this, you should be able to this time type to record attendance without any collision errors.
  3. In terms of Time Valuation configuration, add this time type to the time type group that is used to collect all overtime relevant recorded time types.

NOTE: The Extra hours will not be added to the Total displayed on the Time Sheet UI.

Enhancement / Future Behavior as of 1H 2026 release:

With the 1H 2026 Release, enhancement Collision Resolution Between Absences and Attendances is introduced.

This feature enables flexible handling of overlapping records between absences (time off) and time sheet entries (attendance and on‑call time types). This enhancement extends the existing absence‑to‑absence collision resolution functionality to support scenarios in which employees are required to record both absence and attendance for the same time period.
Therefore, the workaround using “Extra” category time types will no longer be required as of the 1H 2026 Release.
