Symptom

Does LMS support Employee to record their Training history by themselves or the seminars they attended?

Resolution

How to enable the functionality

If you want to allow users to self record completion for a learning item, there are two settings needed -

Global Setting -

In System Admin - > configuration - > user settings --- there are two setting which allows user and supervisor to record learn for the item respectively -

1) User can record learning events for items - if you enable this user can record learn for the item.

2) Supervisors can record learning events for items - if you enable this user can record learn for the item.

NOTE: making changes to the User settings will apply the default values you have set to any NEW items created after the change.

Item settings:
For items which already existed before you changed the default values you might need to manually change them

Open the item record and expand the summary "view all"

1) User can record learning events for items - if you enable this user can record learn for the item.

2) Supervisors can record learning events for items - if you enable this user can record learn for the item.

 NOTE:
if you would like to mass update existing items to reflect the default configuration you have applied, you can use the item connector and populate the SELF_RECORD_LRNGEVT (User) and SUB_RECORD_LRNGEVT (fields) with Y/N values.

Best practice dictates that connector import should ALWAYS be tested on stage first with one record.
Once you have confirmed the connector did update the properties as you desired and there were no errors or unforseen issues, you can proceed with testing with a bigger batch.
Only then, if all goes well, you can test in production with one record first and then upload the full file once the test is confirmed successful.
That way you protect yourself from errors resulting from a mass upload of data in your production environment which is not in the scope of support to assist with but should be submitted to our Professional Services team.

Workflows required to be able to record learning

User - System admin > Security > Role > Search for the role assigned ot the user > Workflows > Add one or more from list

Access Record External Learning Events - If the user will not have this workflow they will not get an option to record learn external event in the User view of the application,and vice versa.

Access Record Learning Events - If the user will not have this workflow they will not get an option to record learn for an item which is present in the system in the User view of the application,and vice versa.


Supervisor - System admin > Security > Role > Search for the role assigned ot the user > Workflows > Add one or more from list> My employees section

Access Record External Learning Events - same as users its just that it applies on supervisor

Access Record Learning Events - same as users its just that it applies on supervisor

When your user should be allowed to record learning?

This is at your discretion and based on your business needs, if there are certain courses, seminar, trainings, which users have attended and you want them to record completion from their side.

If users are attending seminars or external training which are not a part of LMS as an item and you want user to record completion for them once they attended.
