2546172 - Impacts of Changing an Evaluation on an Existing Item

What are the impacts of editing a survey in an existing item or remove/replace it?

Environment

SAP SuccessFactors Learning

Reproducing the Issue

Edit the survey:

  1. Go to Content > Surveys
  2. Find the desired survey and click in Edit
  3. Change questions or add new questions
  4. Click Publish

Change the survey associated to an item:

  1. Go to Learning Activities > Items
  2. Find the desired item
  3. Go to the Surveys tab
  4. Remove/Replace the associated survey
  5. Apply Changes

Resolution

The major impact of changing the survey or editing it after it being associated to an item is that the data gathered for that survey will be lost. There is a major difference in editing the survey or changing the survey associated with an item:

  • Edit the survey: You will lose all the data associated to that particular survey, this being relative to all answers and responses for that particular survey.
  • Change the Survey associated with an Item: If you change the survey associated to an item, being by removing it or by replacing it with a new survey, the data associated to that survey for the item will be lost. There will be no more records of the answers and responses of that survey for that item.

As a workaround, if you want to change the survey associated with an item, revise that item before doing so. In other words, the answers for a survey are associated to a particular revision of an item, thus changing the survey in the later revision of an item doesn't impact the data stored for the answers provided for the previous revision.
