2546182 - Item Usage no longer shows data for survey for an item

Symptom

Checking Item Usage tab in the Survey does not show the data gathered for a particular survey (for all items or for only one particular item).

Environment

Reproducing the Issue

  1. Log into HCM > navigate to Learning Administration >
  2. At Content > Surveys > search for the affected survey >
  3. Open the record in edit mode >
  4. Go to the Item Usage tab >
  5. Notice that the data associated with the Survey is no longer available (for all items or for only one particular item).

Cause

To edit a survey once it has been associated to an item, it's possible to add questions and/or remove existing ones. The Learning application tracks each answer by its location in the list, so the data in reports can be inaccurate in case questions are reordered / added / removed.

In case changes are made to surveys that are already associated to items and the survey gets republished, then the system automatically updates the survey for users who did not yet started it. If a user started but did not yet finish the survey, then the system overrides the user's incomplete survey with the new survey, requiring the user to restart the survey.

When editing a survey, the data associated to that particular survey may be lost, this being relative to all answers and responses for that particular survey.

When changing the survey associated to an item (whether by removing the survey from the item or replacing the existing survey with another), the data associated to that survey for the item will be lost. There will be no more records of the answers and responses of that survey for that item.

Resolution

As a workaround, to be able to change the survey associated with an item, it is needed to revise that item before changing the survey.

For clarification, the answers and response for a survey are associated to a particular revision of an item. Hence, changing the survey in the revision 2 of an item doesn't impact the data stored for the answers and responses provided for the revision 1 of that item, for example.
