Reproducing the Issue

  1. Login to SuccessFactors Instance;
  2. Go to Employee Profile;
  3. Go to Notes portlet.

Resolution

Notes portlet is a portlet where anyone can put comments, remarks, etc. depending on how the organization decides to use it. A user can give Notes to anyone, depending on permission provided in RBP > Employee Data > Notes.

Sample1: Colleague (ex. Brenda) sends Notes to colleague (Allison)

Sample2: Subordinate (ex. Allison) sends Notes to manager (Michael)

An email notification will be sent to both the sender and the giver if the template "EZ Note Notification" is enabled in Email Notification Template Settings.

Only Notes you have sent will be visible to you when you browse the recipient's Employee Profile. The recipient on the otherhand will see all Notes given to him.

 You can also sort the Notes within a certain time range such as: "In the last 14 days", "In the last 180 days", "In the past year", "All" (which will display all of the Notes).

Note: Note Block is a system generated information and therefore cannot be modified (layout, size).

Is it possible to have standard messages just add to the Notes?

  • Currently there is no feature to have standard messages or pre-setup messages for users just to select from. Each note creation, the user must write the whole note, even if it is similar to another user or old note.

Is it possible to set the Notes for view permission only?

  • It is not possible as of the moment since there's only one permission for the Notes. Once the note is shared with others, the permission to edit/delete is also shared to the target users.
