2556364 - Sync from Position to Job Info for Future Hire, Future Position changes or Position records prior to the incumbents assignment are not Working

Symptom

  • User is hired with effective date after the effective date of the Position, changes to the position are made via edit mode prior to the hire date. Once the Employee is active in the system, the changes were not propagated to their job information via the Position To Job Information sync. 
  • There is existing future dated record in the Position with few attributes changed. Today, position is assigned to a new employee. This syncs the current effective dated record from Position to Job Information but the future dated record is not synced. This is creating data discrepancy
  • A user is assigned to a position on a date after the effective date of the Position. The position is not updated with an effective dated record equal to or after the incumbent assignment date. When making changes to the position record via edit mode no Position to Job Information sync is being triggered.

Reproducing the Issue

Example One - Changes to Position Values

  1. Employee is hired on October 10th with effective hire date as October 20th. 
  2.  The position is updated with new values, via the Position org Chart on effective date October 18th
  3.  After the transaction was saved, New Hire’s future Job Information record still shows the old position field values, they were not updated via the Position to Job Info Sync.

Example Two - Vacant Higher level Position is assigned an Incumbent

  1.  Employee is hired on October 10th with effective hire date as October 20th. The Manager position is vacant at the hire time
  2.  The higher Level position vacancy was filled as of October 18th
  3.  After the transaction was saved, New Hire’s future Job Information record still showed the old manager which is Manager plus 1 ( Next Level).

Example Three - Future Dated Position values sync

  1. A new position is created
  2. A re-org takes place (gets executed on 01/10/2020) and the Department is updated on the Position object with an effective date of 01/30/2020.
  3. A user is put into the position on 01/15/2020 and will inherit the attributes from the position on that day.  Once 01/30/2020 hits and the new record on the position takes effect, this will not be reflected on the person in that position.  Only if that person was in that position when the re-org was executed on 01/10/2020 would the future dated record reflect on the Job History.

Cause

This is expected behaviour.

Resolution

The Position to Job Information Sync and Hierarchy adaptation will only occur for changes which are made after the effective date of the employees Hire Record.

If you run into this scenario, we recommend, updating the position again on or after the effective date of the hire, to trigger the Position to Job Info sync.

Please note it is recommended to use the To Be Recruited Status Adaptation: Reset 'To Be Recruited' Status if Incumbent is Assigned to a Position to ensure the position is updated on with an record on the effective date an incumbent is assigned to the position. Depending on your business requirement this may require the use of the "Always" sync option.
