Notification Details
Document Due and Document Late Notifications
- Document Due notification will be sent to a user when a document in his/her Inbox before the Default Due Notification Date (in days) of the Form Due Date.
- Document Late notification will be sent to a user when a document in his/her Inbox after the Default Late Notification Date (in days) of the Form Due Date.
- Document Due Notification & Document Late Notification can be set to ON/OFF for each form template separately.
- With Document Due Notification & Document Late Notification enabled via Admin Center > E-Mail Notification Templates Settings, they can be disabled for only one/several PM forms via Admin Center > Form Template Settings:
- Disable Due Notification = ON (checked), Document Due Notification will be disabled for the particular form template.
- Disable Late Notification = ON (checked), Document Late Notification will be disabled for the particular form template.
Step Due and Step Over Due Notifications
- Step Due notification will be sent to a user when a document in his/her inbox is before the Default Due Notification Date (in days) of the Step Due Date.
- Step Over Due notification will be sent to a user when a document in his/her inbox after the Default Late Notification Date (in days) of the Step Due Date.
- Step Due Notification & Step Over Due Notification can only be turned on/off under instance scope. This is because one route map can be used for multiple forms at the same time.
- They can be enabled/disabled via Admin Center > E-Mail Notification Templates Settings:
- Step Due Notification = OFF (unchecked), Step Due Notification will be disabled for ALL templates
- Step Over Due Notification = OFF (unchecked), Step Over Due Notification will be disabled for ALL templates.
How to Enable the Notifications
- Submit the following jobs in Provisioning (As a customer, you do not have access to Provisioning. Please engage your Certified Partner or SuccessFactors Product Support to implement):
Notification Corresponding Provisioning Job Document Due Notification Send Form Due Notification Document Late Notification Send Form Late Notification Step Due Notification Send 360 Step Due Notification Step Over Due Notification Send 360 Step Late Notification
- Go to Admin Center > E-Mail Notification Template Settings > Enable the Document Due / Late Notification and Step Due / Over Due Notification:
- The number of days at which these notifications can be triggered can be set in the Form Template Settings:
- For the Step Due Notification, this notification will be sent to users when the due date to complete a particular step in the Route Map is scheduled several days later:
Note:
- The email notification will only be triggered once. It will not recur daily once sent.
- On a Collaboration step, all users involved in the step will receive the Step Due/Overdue Notification.
- On an Iterative step, only the user with the form in their Inbox will receive the Step Due/Overdue Notifications.
