2562223 - Lead Conversion and Status

Symptom

How to set up Lead Conversion per status.

Resolution

You can base qualification and conversion for leads by setting the relevant settings in the Business Configuration Fine Tuning settings for Leads.

  1. Go to the Business Configuration work centre
  2. Go to the relevant Implementation Project and select it
  3. Click Open Activity List
  4. In the Fine Tuning Activities find and open the Leads fine tuning activity
  5. Select Maintain Status
  6. Here you have all statuses. You can also create custom statuses. You can only create custom statuses mapped vs system statuses (Open, Qualified, Converted, Accepted, Declined)
  7. Actions are defined here: 'Convert to Account and Contact or individual contact' check, ie.

For example: you do not want Lead with status 'open' to be able to be converted to Account > you can use the relevant checkbox.

If a lead has the convert options greyed out: check the status and its relevant settings in the Fine Tuning.

NOTE: If the lead already has an active account, the option 'convert to account' will not exist (as the account already does).

 

  1. Convert to Account and Contact vs Associate to Account and Contact

If you do convert to Acc and Contact: this account does not exist in system yet, but it is already 'on hold' in the backend. Only once you perform the action, it will be created. The lead will go to status 'Converted' > you cannot perform further actions with a Lead after it was converted to account/ account and contact - however, the option 'convert to opportunity' might still be available, depending on your settings for this.

  • By associating the lead you can create a new Acc/ Con WHILE keeping the Lead open > you are not ending the life-cycle of the lead. 
  • Once a Lead is converted/ closed > you can no longer use it. Nor migrate it.
  • Any conversion will put the lead status to Converted -> if you convert a lead to Opportunity, the account and contact (if not already existing in the system) will also be created with that action: the Create Opportunity action via conversion of lead to opp only happen if an account is also created.
