2577612 - Create External Follow-up Document button is Grayed in Sales Quote

You are trying to create external follow-up document but the button is grayed out.

1. Go to the Sales work center.
2. Go to the Sales Quote view.
3. Select show all and find for ABC (ABC represents the ID of the sales quote).
4. In the quote, select Actions button.

Here you will see that Create External Follow-up Document is grayed out. OR: Create External Follow-up Document is NOT grayed out, but nothing happens.

IF Create External Follow-up Document is NOT grayed out, but nothing happens -> check if your documentat type is internal. The action is NOT available for internal document types.

Note: with external pricing, but without product maintained (if this is allowed per scoping), a sales quote replication will work!

Further:

Case 1: Approval Status of the Sales Quote is In Approval.

Case 2: Account used in sales quote is a prospect and business configuration question Do you want to block prospects created in Cloud solution, from being replicated to your SAP ERP solution? is in scope.

Case 3: Pricing is not maintained for the sales quote's document type in Business Configuration work center.

Case 4: You have scoped Sales Quote Versioning and your quote ABC is either not submitted or not active (or both).

Case 1 :

You cannot create a follow-up document until the sales quote is approved, once it is sent to approval.

Case 2 :

1. Go to the Business Configuration work center.
2. Go to the Implementation Projects view.
3. Select Edit Project Scope.
4. Go to Step 4 Questions.
5. Select the Scoping Element Communication and Information Exchange.
6. Go to Integration with External Applications and Solutions.
7. Select Integration with SAP ERP.

Here you have to descope the question Do you want to block prospects created in Cloud solution, from being replicated to your SAP ERP solution? if you want to create quote for prospect and replicate them to ERP. Therefore, if this scoping question has been answered with 'Yes', external follow-up documents from quotes with accounts with role 'Prospect' are disabled. If this scoping question has been answered with 'No', external follow-up documents from quotes are enabled, even if the account has role 'Prospect'.

Case 3:

In case of a follow-up scenario External Pricing needs to be flagged in Business Configuration for the document type.

Pre-requisites: Communication arrangement Sales Quote Follow Up Scenario with Pricing in SAP Business Suite (along with Create Sales Quote Follow Up Document in SAP Business Suite) has to be configured and the pricing has to be submitted before creating the follow-up document.

1. Go to the Business Configuration work center.
2. Search for Sales Quotes activity.
3. Click on Maintain Document Types.
4. Flag the respective document type for External Pricing.

Case 4:

If you have Sales Quote Versioning active, you can only create an external follow-up document in ERP if the quote is active and has already been. If a quote is replicated to or from an external system, no version handling is possible anymore.

To change the Scoping:

1. Go to the Business Configuration work center.
2. Go to the Implementation Projects view.
3. Select Edit Project Scope.
4. Go to Step 4 Questions.
5. Expand: Sales > New Business > Sales Quotes.
6. Find the question: "Do you want to use Sales Quote Versioning?".
7. Make your selection, click Finish.

Please note, depending on your further scoping, you may not be able to submit quotes without products. For this, check the same path as above, question: "Do you want to submit sales quotes without items?"
This business option allows your company to submit sales quotes to your customers or SAP ERP system without any products or text items associated to the quote.
