Resolution
How does Time Off for Leave of Absence Only (PP3) work?
You have to switch on and configure Time Off for LOA Only as described in the Switching On Time Off documentation:
See the Implementing Time Management in SAP SuccessFactors Guide > Time Off for Leave of Absence Only
You can select "Time Off for Leave of Absence Only" as well as "Time Off" if LOA is the only Time Off scenario you use.
Getting started:
If you are only using Time Off for leave of absence (LOA), you need to create a profile with exactly the external code LEAVE_OF_ABSENCE_PROFILE and then assign your LOA time types to this profile.
There’s no need to assign this profile to employees, it will be picked for every employee automatically, provided that there is no Time Profile assigned to all employees. If atleast one employee has Time Profile assigned then the generic Time Profile (LEAVE_OF_ABSENCE_PROFILE) will not be respected.
Using Time Off for Leave of Absence Only, you create the absence in the following way's:
- Take Action > Manage Leave of Absence > Workbench / Time Off ESS
- Time Off tab > Administer time (Workbench)
- Time Off tab > “Go to Time Off” (Time Off ESS)
To have access to the workbench / Administer Time (same data as Manage Time Off page from V12), you need the "Access Workbench" permission under Manage Time
Requesting A Leave of Absence via Time Off from Take Action /Administer Time / Go to Time Off:
1. Navigate to Take Action > Manage Leave of Absence / Leave of Absence:
This will then lead you to the Workbench UI (If you are logged in as an admin):
Or the Time Off ESS UI if you are logged in as the user:
2. You can also start a LOA via Administer Time / Go to Time Off, depending on who is logged in:
3. For Time Off ESS Select the LOA time type, Start and Expected Return dates for the LOA:
Or via the workbench if you are an admin / manager, select New Absence:
4. A Leave of Absence record will then be created in job information.
5. Once you populate the Actual Return Date, a RLOA record is created in job info using the event reason defined on the Leave of Absence Event Reason (Return to Work) field on the time type.
Can I update the expected return date after creating a LOA?
If you try to edit the job information record, you will not be able to update the Expected Return Date:
This must be done via the Time off UI using the Edit function:
Can I create back to back LOAs?
Yes, as long as the Expected return date on the previous record is before the start date on the preceding record, this is possible.
You can do this for both same absence time type, or different LOA time types.
Example Scenario:
- Create a LOA from Time Off – 01/09/2017 > Expected Return of 30/09/2017
- Create a 2nd LOA from Time Off – 01/10/2017 > Expected Return of 31/10/2017
- Create a 3rd LOA from Time Off - 01/11/2017 > Expected Return of 05/11/2017
Can you end back to back Leave of Absence records with 1 Return to Work record?
Yes, you can end all previous LOA records by adding an Actual Return Date on the last record. This will create one return to work record in Job Information. You can edit the actual return date / expected return date via time off also, if you wish to extend the LOA.
Example Scenario:
- Create a LOA from Time Off – 01/09/2017 > Expected Return of 30/09/2017
- Create a 2nd LOA from Time Off – 01/10/2017 > Expected Return of 31/10/2017
- Create a 3rd LOA from Time Off - 01/11/2017 > Expected Return of 05/11/2017
- End the 3rd LOA with a Return to Work on 07/11/2017
Adding the Actual Return Date to the last LOA record will end all previous LOA records.
However, if you select the individual records you will not see an entry for the actual return date, but there will be a return to work record in the job information and their employee status set back to Active:
Can you end back to back leaves separately?
Yes you can also end the back to back LOA's seperately, as you could with the legacy Leave of absence functionality:
You can end these individually by editing each LOA request in Time Off and adding an Actual return date.
You will see a seperate return to work record for each LOA job information record, you will also see an actual return date on each absence from the Time Off UI.
