2600134 - Project Time Recording Posted Without Approval

For each task of a Project approval is necessary for all time recordings. You notice, however, that time recordings have been posted without any approval.

Project Time Recording is not Going for Approval even though Project set as Approval Required

or

You as a Project Team Member (internal employee) recorded time against a particular task and released as well, but the manager couldn’t receive the approval tasks for those Time Recordings.

SAP Business ByDesign

1. In the Project Management workcenter go to the Projects view.
2. Select the respective Project and open it via Edit-Project Plan.
3. Check the Basic Data tab of all Project Tasks.
4. In the Time Recording field the option Approval Required is selected for each Project task.
5. When checking the work tab of one of the Project tasks you notice that work has been recorded.
6. You might also check the Projects-Line Items report in the Cost and Revenue work center where you notice that time recordings have been posted for which no approval tasks had been generated. 

Below are the reasons:

1.For the Project task, you have not set the flag for Mandatory Time Approval .

2.The person who created time recordings on the project is the Project Manager, i.e. the Person Responsible maintained in the Project Header. Time recordings created by the Project Manager are posted without approval

3.If the Project Manager does the time recording on behalf of an employee via time administration work center

4.If the Project Manager does the time recording on behalf of a service agent via service agent timesheet

5.If the Time Administrator does the time recording on behalf of an employee.

Steps to Mark Approval required  for Time Recording in project:

1. Go to the Project Management work center.
2. Go to the Projects view.
3. Select the relevant project.
4. Select the Edit button.
5. Select the Project Plan tab.
6. Select the relevant Project Task.
7. Select the Basic Data sub tab.
8. Choose Approval Required.

Ask the employee/ service agent to perform the time recording from the timesheet appearing in either home/ project team/ project manager work center.

Steps to check who created the time recording:

1. In the Project Management workcenter, in Projects view open the respective project via Edit- Project Plan.
2. In the Project Plan- Gantt Chart check and take note of the employee maintained in the Person Responsible column of the Project Header task.
3. Now select one of the Project tasks and navigate to the task's work tab.
4. Here, select the service for which Actual work was recorded.
5. Check if the employee maintained in the Team Member column is the same colleague as the Person Responsible of the Project Header.
6. Or, if no Team member is maintained for the Service, click on the Display History button. In the little pop-up table you will see all team members who have recorded time for the respective service and project tasks.
7. All time recordings created by the Project Manager were posted without approval.
