2611062 - How Extern Indicator Works in Sales Quotes

Symptom

You created a sales quote in Cloud for Customer (C4C), or created it in your external system and replicated it into C4C. You observe an Extern indicator in the sales quote. You are wondering about the actual meaning of this indicator.

Environment

  • SAP Sales Cloud
  • SAP ERP

Reproducing the Issue

  1. Go to the Sales work center.
  2. Go to the Sales Quotes view.
  3. Open Sales quote and observe the value of the Extern indicator field.

Cause

Depending on the document type of the sales quote, the value of the Extern field can be 'No' or 'Yes'.

Case 1: The value of the Extern field is 'No'.

In this case the document type of the sales quote is flagged to bi-directional replication in Business Configuration, which means that the quote is editable and can be replicated both to and from your external system.

Case 2: The value of the Extern field is 'Yes'.

In this case the sales quote was created in your external system and replicated into C4C, but the document type is not flagged for any replication (Replication column is blank), therefore, it is not editable in C4C. When you try to edit the sales quote, you get the following error:

'Sales document does not allow local edits due to the Extern indicator'.

 

Resolution

Depending on your scenario, flag the most suitable option in:

  1. Business Configuration work center.
  2. Search for Sales Quotes activity.
  3. Go to the Maintain Document Types option.
  4. Flag Replication and the options you wish to use according to your scenario.

Please note that an empty value in the Replication field will set the Extern field to 'Yes'.
