2613470 - Understanding Document Routing and Document Completed Notifications in SuccessFactors Recruiting Management

• Information on the usage of Document Routing Notification and Document Completed Notification in SuccessFactors Recruiting Management.  
• Notifications are configured in Admin Center > E-Mail Notification Templates Settings.  
• Covers the usage of notifications specifically for Recruiting Management.  
• Notifications may function in other environments, but this article does not cover those scenarios.  

SAP SuccessFactors Recruiting Management

1. Navigate to Admin Center > E-Mail Notification Templates Settings.  
2. Configure the Document Routing Notification and Document Completed Notification settings.  
3. Use these notifications within the Recruiting Management module.

Prerequisite:  
1. Grant Role-Based Permission to the Admin role.  
2. Navigate to Manage Permission Roles.  
3. Select the permission role.  
4. Under Administrator Permissions, select Manage System Properties tab.  
5. Enable Enable E-mail Notification Template Settings.  
6. Save the permission role.  

In Offer Approvals:  
• Document Routing Notification is used when approving the offer details that will then be sent to the requisition applicant. Emails sent from the second until the last approver are configured here.  
• Document Completed Notification is sent to all configured users once the last approver has approved the offer.  

In Job Requisition Approvals:  
• Document Routing Notification is used when approving the job requisition that will then be available for candidates to apply (from pre-approved state to approved state). Emails sent from the second until the last approver are configured here.  
• Document Completed Notification is sent to all configured users once the last approver has approved the requisition.  

• When a requisition is closed, the Document Completed Notification is not designed to be initiated. Other emails within the system serve this purpose, such as Admin Center > Recruiting Email Triggers > Requisition Closed.  

• Specify a different Email Subject and text body for any individual Document Routing or Document Completed notification by ticking the checkbox Specify Different Template For Each Form.  

• Document Routing Notification works in the Collaborative step of the Route Map of a Job Requisition, where all users in the step receive the form and emails simultaneously.  

• Document Routing Notification also works in the Iterative step of the Route Map of a Job Requisition.  

• It is currently not possible to have a unique email template for a specific step in the route map; only a unique template for the template itself is available.  

• If the form sender and form recipient are the same person, the e-mail notification will not be triggered. (e.g. Employee is part of Step 1 and Step 2, and the Employee sends the form from Step 1 to Step 2, the employee will not receive the notification)
