Symptom
A user is unable to see a candidate in Manage Pending Hires.
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.
Environment
- SAP SuccessFactors Recruiting Management
- SAP SuccessFactors Employee Central
Cause
Here are possible causes for this issue:
- The recruiting operator has not been included in the target roles on the candidate to employee integration template.
- The status which the candidate is placed, is not set as "Hirable" in Applicant Status Configuration.
- The candidate doesn't have a completed offer approval.
- The user assigned in role mapping in transformation template is currently inactive.
- Essential Roles like Recruiter and Hiring Manager are not configured/defined in Job Requisition template but these roles are being used in candidate to employee transformation template.
Resolution
Target Population:
- Access Provisioning > Import/Export Candidate to employee integration template
- Export the template
- Search for role-mapping and target-roles in the XML
- With the configuration above, only the Recruiter role can see the candidate from Manage Pending Hires, but Proxy as the Recruiter and the candidate will be seen from Manage Pending Hires.
Hireable Status:
- In Admin Center, go to Edit Applicant Status Configuration.
- Select the desirable status which you want to set as "Hireable".
- Make sure only one status has the "Hireable" option (it needs to be done for "Hired" status as well).
Offer approval
- Check if the candidate has an offer approval and the approve steps are finished.
Inactive user
- The system checks the user being assigned for in target role or manager role. If they are inactive, the mapping will not work causing candidate not to be visible in MPH. You can use the Reassign Job Requisition to update the operator assigned in the requisition to an active one.
Roles in template
- Ensure that the field ID hiringManagerName and recruiterName are defined in the Job Requisition template and a user is assigned to this role.
User in Target Role in candidate transformation template is not in Target Population in RBP
- Check user permission who is processing the candidate in Manage Pending Hire and their target population. If the target role is not in the target population, they will not be able to see the candidate they will manage in MPH. See 3094727 - Troubleshoot Manage Pending Hires Permission issues via User Role Search
Candidate must go through Onboarding first
- If Onboarding is enabled to the specific Job Requisition, the Candidate will need to go through Onboarding first and follow the define flow: RCM - ONB - EC
- You can determine if Onboarding has been enabled to the Job Requisition by:
- Check the criteria under Onboarding Integration Setup page;
- Check if the Job Application has the disclaimer: "This applicant can be hired only through Onboarding".
