2631882 - Error "On YYYY.MM.DD duration of absences X exceeds planned working time Y"

Symptom

You are trying to replicate an employee to SAP Business ByDesign, however the system raises the below error message:

"Error occurred during employee time data update, On YYYY.MM.DD duration of absences X exceeds planned working time Y" (where YYYY.MM.DD represents the date, and X and Y represents a duration of time, for example, 7hr).

Reproducing the Issue

  1. Go to Master Data Replication work center.
  2. Enter the Employees view.
  3. Select an Employee.
  4. Click on Replicate.

Cause

The error is raised because the time entry in the specified date of the replication file longer than the planned working time of the employee.

You can check this by following the steps below:

  1. Click on the Time Administration work center.
  2. Enter the Employees view.
  3. Search the employee and select it.
  4. Click on the Edit button.
  5. Navigate to the Time Profile tab.
  6. On the panel below the time profiles, navigate to the Work Schedule sub-tab.

At the bottom you will see a table with the work schedule of the employees for each day of the week. Here it is possible to see the planned working time.

Resolution

You can fix the issue by opening the replication request, and changing the time recording to match the planned working time. To do so, you can follow the below steps:

  1. Go to Master Data Replication work center.
  2. Enter the Employees view.
  3. Search the employee and select it.
  4. Click on the Edit button.
  5. Navigate to the Employee Times tab.
  6. Search for the time recording on the date shown in the error message.

Here you can change the time recording to match the planned working time.
