Symptom
- Is it possible to hide a status from a Job Requisition operator?
- Is it possible to remove the operator's ability to send a Job Application to a specific status?
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.
Environment
SAP SuccessFactors Recruiting Management
Resolution
It's possible to modify each status of the application pipeline. Some status, like system statuses are more limited than other regular statuses.
To access the status configuration:
- In Admin Center
- Edit Applicant Status Configuration
- Select the Status Set you want to modify
Each status will have the below two options:
- Selectable By - Grant the operator ability to send the Job Application to the status
- Visible To - Grant the operator ability to see the Job Application(s) within the status
If you want to remove the operator's permission to send a Job Application to a specific status, you need to uncheck the 'Selectable By' option to the specific operator.
If you want to hide the Job Application(s) within a specific status, you need to remove the 'Visible To' option to the specific operator.
The below statuses will not have the 'Selectable By' permission as they are system statuses which a Job Application cannot be sent to manually or has a specific option for it.
- Forwarded
- Invite to Apply
- Auto Disqualified
- Requisition Closed
- Hired On Other Requisition
- Deleted on Demand By Candidate
- Deleted on Demand By Admin
- Declined DPCS
- Withdrawn by Candidate
Also, besides remove the 'Visible To' option from the operator, you can hide the status as well and/or the status count. Inside the status, you can find the below two options:
- Hide the status from users who don't have application status Visible To privilege
- Hide applicant count from the users who don't have application status Visible To privilege
Below are some examples of settings you can define:
- If the user tries to drag and drop a Job Application to a status that s/he doesn't have 'Selectable By' permission:
- The operator has 'Visible To' but doesn't have 'Selectable By'. The status will not appear at the Status dropdown:
- The operator has 'Selectable By' but doesn't have 'Visible To':
- The operator doesn't have 'Visible To' and 'Hide the status from users who don't have application status Visible To privilege' is enabled (Phone Screen not visible):
- Same as previous example but the operator has 'Selectable By', which means s/he can forward a Job Application to a status not visible:
- Operator doesn't have 'Visible To' permission and 'Hide applicant count from the users who don't have application status Visible To privilege' is enabled:
