2651887 - Creating Job Requisition for a future date using Position Org Chart

Symptom

When the client has EC and RCM module, they have the ability to create job requisitions from a position using the position org chart feature. When a job requisition is created for the presented date, the job requisition is created right away.

However, when the user selects a future date, the system does not create this job requisition, instead, the system schedule this action to happen on the selected date. On the job requisition section, the system shows the code that will be proceeded by a quartz job on the effective date.

Reproducing the Issue

Sometimes, when scheduling a job requisition to be created at a future date the action may fail or not happen.

Cause

  1. If the creation fails, the job owner will receive an email with the information about the failure. It could be caused due to a data issue or configuration issue.
  2. However, if the job requisition does not get created and the above section (job requisition section) still shows the creation status as overdue, it means the back end job is not configured or not working. 

Resolution

In order to resolve the cause number 1, if the user is not able to identify the issue, a ticket has to be raised with the support team. Please provide the position number and attach the email received from the job execution.

For the cause number 2, we have two possibilities:

One the job failed for some reason, in this case, a ticket with support will be necessary.

The second issue could be the back end job was not scheduled to run on daily bases. In order to schedule this job, follow the steps below:

  1. Go to Provisioning for the relevant company and choose Manage Scheduled Jobs > Create New Job;

  1. Select a “Job Name” and “Job Owner”. The job owner should be an admin user who will be notified when something goes wrong. Select “Position Job Requisition Processing” as job type. Please ensure that the job runs at least once a day.

When the job finishes processing, the admin user is notified whether the creation of the requisitions was successful or not. An error message will be included in the email as shown in the example below:

Please note: future dated Job Requisitions created using Position Org will take the Job Executor of the Position Job Requisition Processing job in Provisioning as the Originator. Be sure that this user has permission to Create Form in RBP to avoid error during the time of creation.

*If you do not have access to provisioning please contact your implementation partner or SAP professional services.*

You will need to provide all the necessary information for making the schedule as Job Name, Job Owner, and Occurrence.

NOTE: Once the “Position Job Requisition Processing” job in Provisioning is configured and running, it will pick up Job Requisitions scheduled to be created in the future. It will not work retroactively, hence it will not pick up Job Requisitions that were scheduled to be created in the past, if you configure the “Position Job Requisition Processing” job for the first time. The missed Job Requisitions that were scheduled to be created in the past have to be manually created from the Positions.
