2660789 - Unable to Purge Absences in Data Retention Management Tool

• Absences cannot be purged using the Data Retention Management Tool
• Employee Time and Time Type objects are not visible under list of DRTM Time Info Purge Object in Manage Data

• Absence Retention Group is not assigned on the respective time type configuration

• Retention Time Configuration is not defined for the absence retention groups assigned on time types

1. Go to Admin Center > Manage Time Off Structures and create a new Time Management Retention Group.

2. In Manage Time Off Structures, select Time Type and the relevant time type for which absences are to be purged.

3. Click Take Action > Make Correction and assign the absence retention group created from Step 1 and then save the changes.

Note: For every absence retention group assigned on time type(s), corresponding time info purge object will be created. 

4. Go to Admin Center > Manage Data and search for DRTM Time Info Purge Object then select the DRTM purge object for which the retention time is to be configured.

5. Click Insert New Record button then set the date on when the configuration will be effective. Click Proceed.

Note: The effective date you set here is the date on which your configuration changes take effect. If you select a future date, the retention times you configure now are not considered by purge requests until that date. For example, if you are changing the retention time in response to a change in local law that goes into effect on a certain date in the future, you can configure your change to take effect on the same day as the new law. If you want the change to take effect immediately, use the current date, which is selected by default.

6. Set the Retention Time Configuration for the absence retention group by filling out the fields below. Click Save to apply the changes.

• Country: Select the relevant country where the retention time configuration will apply.
• Unit: Options are Month and Year
• Retention Time for Active Employees: Set an appropriate retention period for absences of active employees
• Retention Time for Inactive Employees: Set an appropriate retention period for absences of inactive employees
