Resolution
It is known that the Single Sender settings in Provisioning (system backend) and the Return Email Address settings in Admin Center > E-Mail Notification Templates Settings control only automatically sent emails. Manually sent emails may still have similar settings configured. Please, check it below:
- Let's consider the user name and email address on the "From" field in the above image (Person 123 [not.necessarily.person123@test.com]). The information that comes before the email address is the Sender Name. This information will be displayed to the email recipient when the email arrives and can be changed by the email sender before concluding the email sending process. This doesn't necessarily need to match the actual name for the email sender. So, in case you are sending an email on behalf of a recruiting team, you may replace your own name by the recruiting team name, so the recipient will never know the name of who is having the email sent.
- The other green part of that information, is the Return Email Address. You may also have this changed to any email address you want. Existing or not, matching the sender email address or not. IMPORTANT NOTE: This change will affect only the RETURN Email Address for the received notification. When the email arrives, the candidate will see the sender email address as system@successfactors.com or as the one defined in Single Sender email address settings, and will be able to see the other email address just after clicking "Reply".
- To be able to edit the From field when sending Adhoc emails, please check the "Make return email address editable in 'Email Candidate'" box in Admin Center > Manage Recruiting Settings
PLEASE NOTE: The behavior in this KBA remains true for when you do not have Message Center enabled and Single Sender is disabled. If you have Message Center enabled and Single Sender enabled and configured, it is an expected behavior that the system will automatically set the sender email as something such as "correspondence'CompanyID'@mail-sd4.successfactors.com". Also, when Message Center is enabled, when replying to the email, it will show the name that you manually set when sending the email and it will show that same email "correspondence'CompanyID'@....".
Please see the logic below:
- From <email address> will have following values based on single sender switch and other parameters:
- Single sender is enabled:
- correspondence<company Id>@<james server domain>
- Example: if <company id> is SAP. And <james server domain> is pc4james.com
- Single sender is disabled:
- If "sf.systemMail" property is configured at server level, then the value of property will be email address
- If "sf.systemMail" property is not configured, then email address will be system@successfactors.com
- Single sender is enabled:
