2662465 - Planned Days Are Not Showing in Time Account Balances

Symptom

You have vacation days approved for future days, however they are not showing in the Planned Days of Time Account Balances.

Environment

SAP Business ByDesign.

Reproducing the Issue

  1. Go to the Time Administration work center.
  2. Open the Employees view.
  3. Select the employee.
  4. Click on the Edit button.
  5. Go to the Time Account Balances tab.
  6. See that the Planned Days are not showing as expected.
  7. Go to the Employee Times tab.
  8. See that the employee has future holiday days approved, but they are not showing in the Planned days as expected.

Cause

  • Cause 1:

The reason for showing the Balance as Zero is due to the Posting Type Set to Zero which was done initially by the employee or the time administrator.

  • Cause 2:

For reducing the balance of the vacation account, there needs to be a work schedule assigned to that employee. This is necessary as the balance is calculated against the work schedule.

  • Cause 3:

Time model for the selected duration is not added in the Work Schedule under the Time Profile for the employee.

  • Cause 4:

Mapping between Time Type and Time Account: Holiday requests have been made with Time Type ABC, but if we check the configuration for it, this Time Type doesn't have the Time Account XYZ assigned to it (ABC being the Time Type selected for the vacation requests and XYZ being the Time Account selected in Time Account Rules of employee's Time Profile).

  • Cause 5:

For the Time Type ABC, the Time Account ZYX has been registered for accrual as well as deduction. Both operations in same Time Account will result in Time Valuation error.

  • Cause 6:

Time Type FGH is not marked as "Relevant for Work Schedule" (where FGH is used in Daily Model assigned to the employee).

Resolution

 

 

  • Resolution for Cause 3: Add the Time Model with a valid duration to the Work Schedule of the employee's Time Profile:
  1. Go to Time Administration work center;
  2. Open Employees view;
  3. Select the employee;
  4. Click edit;
  5. Go to Time Profile tab;
  6. Under Details, go to Work Schedule tab;
  7. Add a Time Model;
  8. Make sure the Start and End Date of the Time Profile are valid for the required duration.

 

  • Resolution for Cause 4: These are the required adjustments for mapping Time Type ABC and Time Account XYZ:
  1. Go to the Business Configuration work center.
  2. Search for the Time Types.
  3. Click on the Maintain Employee Time Types option.
  4. Select the Time Type ABC.
  5. Go to the Time Account Posting tab.
  6. Click on Add Row and add the Time Account XYZ.
  7. Save the changes.

 

  • Resolution for Cause 5: The Time Account XYZ was registered for Accrual in the Time Account Posting tab of the Time Type and registered for deduction in the Special Posting Order tab of the Time Type. It should be either accrual or deduction.
  1. If only Accrual is required, the Posting Order should be removed from the Special Posting Order tab.
  2. If only Deduction is required, the Time Account XYZ should be removed from the Time Account Posting tab.

 

  • Resolution for Cause 6: The Time Type FGH must be marked "Relevant for Work Schedule" by selecting the Productive Time from the drop-down:
  1. Go to the Business Configuration work center.
  2. Search for the Time Types.
  3. Click on Maintain Employee Time Types.
  4. Select Time Type FGH.
  5. Select Productive Time under "Relevant for Work Schedule" column.
  6. Save the changes.

 

In any of these cases, after making the configurations, Day closure for every affected Employee will be required. Please find steps below:

  1. Go to the Time Administration work center.
  2. Open the Regular Tasks view.
  3. Click on the Run Day Closure for One Employee option.
  4. Select the employee in the value help.
  5. Choose the action "Start Time Valuation".
  6. Click on the Run button.
  7. Provide the Time Profile Start date of the employee selected and click on the Ok button.
