2670133 - Anonymize Candidate Profiles Feature - Recruiting Management

Symptom

This KBA explains how to anonymize a candidate's profile along with the applications and also how to anonymize disqualified applications of candidates that have already been anonymized. Before the b2311 release, this feature was known as "Delete Candidate" feature but has now been renamed "Anonymize Candidate Profiles" and has been enhanced to allow you to anonymize disqualified applications at the same time that you anonymize individual candidate profiles.

Resolution

Prerequisites:

  1. With the assistance of your Implementation Partner, enable DPCS 2.0 in Provisioning (KBA 2341240)

  2. Enable Delete On Demand By Admin for the related status set on the pipeline.

  3. Grant RBP Permission: Manage Recruiting>Anonymize Candidate Profiles

Anonymize Candidate Profiles and Applications

  1. Admin Center>Anonymize Candidate Profiles:

  2. Under "Anonymize Candidate Profiles and Applications", find a candidate by their name:

  1. Select the candidate's name and click "Anonymize"
  2. You will see a pop up with the option to "Include disqualified applications" so you can select this option if you want to also anonymize the disqualified applications:

  3. Click Yes
  4. You will then see a message that candidate profile has been anonymized successfully:

  5. Run the RCM Entity Anonymization job
  6. Candidate profile and the associated applications will be anonymized (i.e. if you selected to include disqualified applications, then they will also be anonymized alongside the candidate profile)

NOTE:

  • Before running the RCM Entity Anonymization job, if you run a report on the anonymized flag for the application it will be "Marked for anonymization by administrator delete all command".
  • If you DON'T select the "Include Disqualified Applications" option, the disqualified applications will not be anonymized by the RCM Entity Anonymization job, however, they will still be marked as "Marked for anonymization by admin delete" in reports and will be anonymized based on the criteria in Manage Data.

Anonymize Disqualified Applications for Anonymized Candidates

  1. Admin Center>Anonymize Candidate Profiles>Anonymize Disqualified Applications for Anonymized Candidates>Enter the candidate ID of the anonymized candidate>Search:

  2. You will see the following pop-up message confirming the candidate ID and then click “Yes”:

  3. There will be another pop-up confirming the disqualified applications will be anonymized for that candidate and then click “OK”:

  4. There will be a message saying that the disqualified applications for the anonymized candidate have been successfully anonymized:

  5. Run report on application and see that the disqualified application is marked for anonymization:

  6. Run RCM Entity Anonymization job
  7. Run report again on applications and this is now marked as Anonymized:

Note:

  • There is currently no way to Mass Delete/Anonymize Candidates. The "Anonymize Candidate Profiles and Applications" only allows a single candidate to be deleted at once. This is a product limitation.
  • It is out of Support scope to delete/anonymize candidates, even if customer provides a list with candidates to be deleted.
  • There is a limit of 50 results that appear in the drop-down in this feature so if there are over 50 candidates with the same first and last name it's possible that they may not appear in the drop-down list. The workaround is to change the particular candidate's First and/or Last Name to something unique like "Maria ToBeAnonymized" and then search that name. There is currently an enhancement open on the Community Portal to improve this behaviour, so you can search using other criteria: [Admin] - Delete Candidate functionality - search by candidate ID candidate option.
