How to generate documents on mass using the Mass Document Generation tool

Permissions

1. Go to Admin Center > Manage Permission Roles
2. Select the Admin role to grant permission to
3. Click "Permissions..." button
4. Scroll down, into the "Administrative Permissions" > Manage Document Generation
5. Grant permission to "Mass generate all documents as an admin"
6. Click Done > click Save Changes
7. Log out > Log in

 

Using the Mass Document Generation tool

1. Go to Admin Center > Mass Generate Documents
2. Fill in the required fields:
   1. Execution Manager - Job Name > give the job a sensible name that can be recognized by other admins with this permission
   2. Template > select the appropriate template
   3. User Selection by Legal Entity > Select the Legal Entity to filter users by
   4. User Selection by Rule > Allows you to further filter after Legal Entity selection, which users to target
   5. As of Date
   6. Choose the recipient option from the drop down menu.
   • • If you select Email Selected Users the documents will be sent to email address of the employees in the Legal Entity.

     • If you select Email Job Owner all the emails will be sent to Job Owner's email address.

     • If you select Email Selected Users and Job Owner the generated documents will be sent to both the Job Owner and employees.

3. Click "Start Mass Generation"
4. The system will send the document to the business email address provided in the Employee's contact information 

User Selection Rule

To create the Rule needed for "User Selection by Rule" -:

1. Go to Admin Center > Manage Business Rules
2. Select the Rule Template under Document Generation "Generate Employee ID For Hire/Rehire"
3. Give the Rule a Name and ID
4. Fill in the IF condition and Save
5. Once saved it will be available for selection in the "Mass Generate Documents" UI.

 

 

Limitations & Other Information

• The results of the user selection can be seen in Execution Manager (in Admin Center)
• Currently the Document Generation tool supports generation of documents and email for a maximum of only 500 users
• This feature is supported for only the category “Document Generation” and not other categories
• It is not possible to add more filters or further options for selection
