Symptom
As of 1808 release SuccessFactors has a new feature that enables the user who has been rehired with new employment to log in the system with the old username.
Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental
Environment
SAP - SuccessFactors - Employee Central 1808 or newer versions
Resolution
- Previously when an employee was terminated and rehired with a new employment the user would have to use their new username to login to the system.
- Now with this feature the customer can rehire an employee with new employment and the employee can use their original username (for their first employment) to login into the system.
- Please note, as the username field is required and unique, the employee will still receive a new unique username for their new employment, but for accessing the system they will be able to use the username associated to their original employment.
Do I need to enable any feature in provisioning?
No, there is no setting in provisioning to enable, you just need to activate it in company system and logo settings (see "How to enable it")
How to enable it:
To enable it you need to go to:
- Company System and Logo Settings;
- Check the option "Enable login with Old User Name";
How this feature works:
- When you terminate an employee the system will make the user as inactive thus you won't be able to log in anymore.
- And when you rehire with new employment, the system will require you to provide a new userid and assign a new username.
- When the new employment is created, the system will access the pervious employment username and make this the username for login access, this way you will be able to log using the same username as before.
An important note is that after you conclude the rehire with new employment the employee will receive an e-mail to reset the password, the employee must reset his password, otherwise, won't be able to log in.
This password reset requirement does not apply to Single Sign-On(SSO) users, when SSO is in use.
Please Note:
As the username field is required and unique, the employee will still receive a new unique username for their new employment, but for accessing the system they will be able to use the username associated to their original employment. This feature is only for username access to the system and not to copy the username across to the new employment.
Additional Information:
This feature is also supported for Contingent Workers as of the 1902 release
