2677150 - Out of Office Enhancement for Calendar View - "ABC Is Out of Office During This Time" Warning Message Does Not Appear

Symptom

You are creating an appointment for a user when there is another overlapping appointment created; you expected to see the message "ABC is Out of Office During This Time" (ABC stands as the appointment owner name in this case) but you might only be seeing the message "A parallel activity exists".

Reproducing the Issue

  1. Open the Calendar View by clicking in the Calendar Icon in the left menu (HTML5) OR by opening the Calendar work center (RUI).
  2. Select the ABC Calendar visualization by selecting ABC in: the value help (HTML5) or by clicking in the employee icon in the lower menu bar and selecting Other Calendars (RUI). ABC stands as the future appointment owner name.
  3. Click in the New button (HTML5) or in the plus icon in the lower menu bar (RUI).
  4. Select Appointment in the pop-up menu.
  5. Fill in the mandatory fields, making sure that the Start Time and End Time fields overlap an already existing appointment for ABC.

You expected to see the message "ABC is Out of Office During This Time" but you might only be seeing "A parallel activity exists".

Cause

You do not have the "Show As" field enabled in the appointment quick create screen; thus, the field is blank and not filled as "Out of Office", not triggering the warning message "ABC is Out of Office During This Time".

Resolution

You should enable, via layout edition (such as Edit Master Layout) the field "Show As" in the appointment quick create pop-up from the calendar. To do that, follow the steps below (in HTML5):

  1. Open the Calendar View by clicking in the Calendar Icon in the left menu.
  2. Click in the Adapt in the upper menu bar.
  3. Select Edit Master Layout.
  4. Click in the New button.
  5. Select Appointment in the pop-up menu.
  6. Hover the mouse cursor over a field in the pop-up and click in the plus icon.
  7. Select Add Fields.
  8. Check the Select checkbox for the field "Show As".
  9. Click in the Apply button.
  10. Click in the Adapt button in the menu bar.
  11. Select End Layout Changes.

Now, when creating an appointment, you will be able to select in the "Show As" field the option "Out of Office". This will trigger the expected warning message "ABC is Out of Office During This Time" when creating a future overlapping appointment. The message checks are made only for appointments and phone calls, considering their owner always. Organizers are not considered for this warning message, only for the message "A parallel activity exists".
