2685132 - Unable to Edit or Delete Work Schedule

When you attempt to update / edit / delete a work schedule via Manage Data, you see one of the following errors:

• Some absences refer to work schedule ***, so you can't change it.
• Some absences refer to work schedule ***, so you can't delete it.
• Change of work schedule not possible due to job information references

SAP SuccessFactors Employee Central - Time Off

• This is an expected behaviour.
• An error message is given if a work schedule is changed / deleted, if there are already absences that refer to that work schedule.
• Even if the work schedule is referenced in any of the history records of a job information, system will still throw the error.
• These absences could be for an old/closed time account as well.

• The best option is to create a new work schedule and assign it to job information. Do not delete the old work schedule as some absence is referencing it (recommended).
• After creating the new work schedule, from that effective date only the new work schedule will be displayed.
• Otherwise you would have to do the following:

1. Remove the work schedule from the job information(from all history records as well) of all the employees.

2. Delete all the absences requested using this work schedule.

3. If you are using time sheet, delete all the time sheet recorded using this work schedule.

4. If any leave of absence is requested. Delete all leave of absences.

Notes:

• If you remove the work schedule from all job information records and it is no longer references any absences (they have been cancelle / deleted), then you can delete the work schedule.
• If you create a work schedule and do not assign it anywhere, then you can delete it with no issue.
• Other use cases:

• User1 - Job info has Legal Entity of country Germany and work schedule (WS_Test) which doesn't have any country assigned ->Update is possible(only to Legal Entity Germany, since it matches the Legal Entity of Job Info).

• User2 - Job info has Legal Entity of country Germany and work schedule (WS_New_Test) which doesn't have any country assigned. For another User3, job info has Legal Entity of country Australia and same work schedule (WS_New_Test) -> Update is not possible.

• User4-  Job info has Legal Entity of country Germany and work schedule (WS_Test) has legal entity Germany assigned -> It is possible to update the work schedule 'country' value back to Empty.
