2686404 - LMS: Q3 2018 - Reduce Data Volume for Background Jobs

Symptom

 We have identified the top LMS tables in terms of data volume. We need to have recurring jobs on these tables to reduce the data volume based on the pre-defined data retentions. Please note that the data retention periods may vary in production and preview/test instances.

Environment

 SAP SuccessFactors Learning Management System (LMS) B1808 and higher

Resolution

Before 1808 release, Admin could enable or disable Automatics processes "Clean up Background Jobs" and "Clean up Background Reports". When these APMs are disabled, data volume on LMS tables increases.

To avoid this, starting from 1808 release, these job will be system level job. Admin can only edit "Threshold" days fields. Apart from that everything else will be not editable.

For Clean up Background Jobs

  1. We will not be changing any current threshold values for the existing customer.
  2. Customer who got null value in the threshold fields we will set it to "90"
  3. Default is "90" and Max is "180". Existing customer who got threshold value more than 180, we will not modifying the value but in the future if the customer tries to change anything on this page then validation rule will be applicable. Values allowed are from 1 to 180.
  4. Job is by default scheduled to run 1st of every month at midnight

For Clean up Background Reports Job

  1. Currently the Threshold value for this APM is retrieved from asyncStorageTTLDays (ReportSystemConfig). There will not be any change.
  2. Customer who got null value in the threshold fields we will set it to "365"
  3. For new customer default is "30". Values allowed are 1 to 365
  4. Job is by default scheduled to run 1st of every month at midnight
