2687350 - Personal, Public and Design Workbooks in Excel

Symptom

This document describes the difference between a personal, public and design workbook in Excel.

Environment

  • SAP Business ByDesign, Excel Add-In
  • SAP Hybris Cloud for Customer, Excel Add-In

Reproducing the Issue

  1. Make sure you have downloaded and installed the latest Excel Add-In from the download center.
  2. Open Excel and go to the SAP BUSINESS BYDESIGN / C4C tab.
  3. Click on Insert Report .
  4. Log on to your system.
  5. Choose the required report.
  6. The report will most likely open as a Personal Workbook as seem below:Excel Workbook.png

You would like to know the difference between the workbook types.

Resolution

  1. A Personal Workbook is user-specific and only available to the logged-on user. It is a workbook created and saved by the user, or a modification of a public workbook that was saved.
  2. A Public Workbook is pre-delivered with the solution or has been saved and assigned by the key user.
  3. A Design Workbook can be used by key users to design and edit reports before publishing them to end users.

As an end user, you can open any report from the solution in Excel by either opening Excel and inserting a report, or by logging on to your system, marking the report in the report list and clicking on View with > Excel. If opened from the system, the report will be a public workbook because it was published by a key user. However if you save this workbook, it will be a personal one and it will be available in your Home reports list.

As a key user, you additionally have access to the Business Analytics work center. If you open a workbook from this work center by clicking on Edit With > Microsoft Excel, it opens as a Design Workbook by default, and the system displays the message 'Workbook is in Design Mode; Result May Not Show Real Data' at the top. Here, you can switch to a personal workbook which will be saved to your Home reports list. Alternatively, you can save a design workbook back to the system by clicking on Save All > Save Workbook as New. You can then find your workbook in the Business Analytics work center, view Design Reports. If you assign this workbook, log off Excel and log back in, you can open it as a public workbook by clicking on Open.
