2737609 - Formatting issues in email / letter templates - Recruiting Management

Symptom

When configuring email templates and having the emails sent to the intended recipients, the formatting structure configured in the email template is not followed in the actual email. The email to be received will not look like how it was configured.

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

SAP SuccessFactors Recruiting Management

Cause

The system is currently not designed to support some HTML based structures/tags.

Resolution

Email templates support HTML formatting and the fields include a rich text editor to make job description formatting easy and intuitive. When pasting the email text content from a Microsoft Word document, the content contains formatting and tags not supported by web browsers. To ensure the email content only contains formatting that will appear properly to candidates viewing the message content please refer to the recommendation below:

Manual copy from MS Notepad (or related simple text editors)

  1. Before pasting any text into the email template description box, paste the very same text into a simple text editor;
  2. Then paste the intended text from this editor to the email template system. This will remove all HTML hidden structures and tags from the text.

Important note:

  • Please have in mind that advanced HTML structures and tags are not supported by the system and may not look an expected in the actual email when it is received. The client is encouraged to try and test the system as much as they want, but the support team will only work on issues with texts that have absolutely no HTML tagging on it.
  • The aforementioned statement also applies to images within the email body. They may cause formatting issues to the emails and sometimes, due to the size an email with images may get, clients may experience email delivery issues like delays or emails being flagged as SPAM on the recipient side.
