2743231 - How to automatically fill some fields in Recruiting Posting from Recruiting Management - RCM/RPO

Symptom

I want to map some fields between Recruiting Management (RCM) and Recruiting Posting (RPO) or to have them filled with a constant value

Resolution

Go to Manage Recruiting Posting > Job Posting Rules, click Field completion and select a Job requisition template.

In the left column, you have the fields in Recruiting Posting, in the right column you have the possibility either to map the field to an RCM field or set up a default value.

The information "* Mandatory fields for Job Boards." Doesn't mean that you will absolutely have to set a rule for these fields, it means that when a recruiter will post a job requisition, these fields will have to be filled, either with a rule or manually by the recruiter if there is no rule. 

Also, a Rule can be overwritten by the recruiter when he fills all the fields in step2.

You will notice that from the start, some fields have a default mapping that is basic and logic. However, you can change them to match your needs.

To create a new Rule, you can click "+". You will then have the choice between "Map to job requisition fields", values from Recruiting Management, or "Define auto-fill values" which is a constant value set in Recruiting Posting

if you click "Map to job requisition fields", you will then be prompted to pick a field coming from Recruiting Management

You can select several of them by clicking on the + button and Recruiting Posting will concatenate them.

When you select a text field from Recruiting Management, you will have the icon with scissors, if you click this icon, you will be able to split a text using a word or a sentence and use what is before or after or even between and use 2 words.

Note: when you use special characters or a phrase where you need to add spaces, it is necessary to use html code for each special character that you add to "Type a keyword or a phrase". For example, if you have a space between two words you need to add the phrase as the following: word1 word2

If the Recruiting Posting field you are setting is a pick-list, you will only be able to select a Recruiting Management pick-list value in the list. Then, you will have an arrow appearing on the right.

When you click it, you will see the value that you have in Recruiting Management and for each one of them, you will have to map a value from Recruiting Posting.

If you click "define auto-fill values", you will only have to type the text you want to use, or pick one value if it's a pick-list.

Then as soon as you save the rule, it will be used for the postings.

To Edit a Rule, you just have to click it, under the column Rule, then you can update it. If you click "Change job posting rule" at the bottom of the popup, and then you can pick again between "Map to job requisition fields" or "Define auto-fill values".

Note:

  • Job Posting Rules setup cannot be personalized by posting profile, but can be personalized per job requisition template.
  • Changes to field completion rules in Recruiting Posting are not retroactive. Once a change has been made to some of the fields, it will not affect the existing Job Postings in the instance. It will only be applied to new job postings after the changes has been made.

All prefilled values are editable when posting the job on job boards. When editing the job, if a completion rule is incorrect the field will be emptied, if a completion is still correct or the field is not mapped at all (and the initial value was populated manually by the recruiter), then the field will still be filled with the value from the initial posting.
