2770169 - Cannot grant DRTM Permission "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request" to RBP role

Symptom

  • We are trying to enable the DRTM Purge permissions but they are not saving.
  • After I checked the permission "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request" in Role Based Permissions (RBP), then save the RBP role, the permission was not saved when re-opened in RBP.
  • When you try to grant the permissions  "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request", you see the error "invalid permission , please contact Product support"
  • When accessing the permission role, both permissions  "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request" are greyed out

Reproducing the Issue

  1. Go to Admin Center;
  2. Search for Manage Permission Roles;
  3. Select the role you need to grant the access and hit “permission”;
    • Select "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request";
  4. Save the changes;
  5. Check the role once again, you will find that the permissions were not saved.

OR

  1. Go to Admin Center;
  2. Search for Manage Permission Roles;
  3. Select the role you need to grant the access and hit “permission”;
  4. Try to select"Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request";
    • However "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request" are disabled in Manage Permission roles. While hovering getting pop up "Warning:invalid permission , please contact Product support"

Cause

This is caused by a Data Issue:

  • In these instances, the two permissions "Create DRTM Data Purge Request" & "Approve DRTM Data Purge Request" are missing in permission table in database
  • Therefore it will not save the permission in RBP role, the configuration will not take effect

Resolution

Note: To resolve this issue, you will need to engage your Partner or CPS as the solution requires access to Provisioning which customers do not have access to.

  1. Logon to Provisioning, choose your Company
  2. Navigate to Managing Job Scheduler

  3. Click the link: Create New Job

  4. In the “Create New Job “ Page, fill in the parameters to be able to save permission Manage Data Purge -> Create DRTM Data Purge Request successfully. 
    • Job Name: (any text which can identify this job)
    • Job Owner: (usually the system admin / super user)
    • Job Type: Company Schema Upgrade Job
    • Rerun Options: add_permission_for_retention_based_purge_creation.xml
    • Occurrence: Once
    • Click button: Create Job

  5. Navigate to “Manage Scheduled Jobs” page
  6. Find the job just created
  7. Click “Select” button in the "Actions" column
  8. Click “Run it now”

  9. Repeat step 3 to step 9 and create another job to save permission Manage Data Purge -> successfully. 
    • Job Type: Company Schema Upgrade Job
    • Rerun Options: add_permission_for_retention_based_purge_approval.xml
  10. Navigate to “Monitor Jobs” page
  11. Monitor until the job status is “Completed”
  12. Once job is completed please try saving Manage Data Purge Permissions in respective role once again. 

Notes:

  • It can take some time to update in the instance, please give at least one hour before reporting the issue with Support.
  • If even after running the jobs, the Permissions are still not saved, please go to Provisioning > Company Settings > Refresh "Refresh RBP Permission Configuration".

  • FOR PRODUCT SUPPORT TEAM: If after running the jobs and the RBP refresh, but the permissions are still impacted, check internal memo for guidance on how to engage engineer.
