2783742 - Report Shows Different Values Depending on the Selection

Symptom

You have executed the Material Inventories - Balance Summary report, for example, an noticed that, when selecting data for a specific material, different amounts are shown if compared with the same material when executing the report with no selection.

Environment

SAP Business ByDesign.

Reproducing the Issue

  1. Go to Business Analytics work center.
  2. Go to Design Reports view.
  3. Open Material Inventories - Balance Summary report.
  4. In the selection criteria, specify only the Company, Set of books and Key Date.
  5. Run the report - without further selection nor filters.

You see that for a given material the report will shown key figures Inventory Amount and Inventory Quantity with certain figures, that differ from the expected amount.

  1. Use the Material ID or Product Category that you were checking in the above step as selection parameter.
  2. Run the report.

You see that the Inventory Amount and Inventory Quantity are different from previous step. Amounts are now as expected.

Cause

This behavior occurs when no filter parameters are given on the report because there is a data restrict in the front end, which restricts the number of line items being fetched on which the data aggregation happens.

If there is no pre-filtering/selection done on the material ID, for example, a huge number of line items are fetched and some line items corresponding to the material get truncated. Reason being that the report shows a different value of inventory valuation amount and quantity when no filter parameters are given.

Resolution

When there is a large amount of data in the system, there should be pre-filtering done on the report. In case pre-filtering is not done then the data limit on the report needs to be increased from the report settings. In order to change or disable/enable the data limit, please refer to below steps:

  1. Open the report.
  2. Click View.
  3. Click the gear icon. You'll see the data limit settings, as per below screen capture.

Note that increasing or disabling data limit may reduce the performance or cause a time-out depending on the amount of data.
