2783882 - How to disconnect a report from the SAP BusinessObjects BI Server it is associated with?

Symptom

  • When opening a report in Crystal Reports, it prompts to connect to the SAP BusinessObjects BI Server.
  • Why the report prompts to connect to the SAP BusinessObjects BI Server?
  • Is it possible to stop the report from prompting to connect to the SAP BusinessObjects BI Server?

Environment

  • SAP Crystal Reports 2011
  • SAP Crystal Reports 2013
  • SAP Crystal Reports 2016 

Reproducing the Issue

  1. In Crystal Reports, open an existing report.
  2. It then prompt to connect to an SAP BusinessObjects Business Intelligence Platform.

Cause

  • A report will prompt to connect to the SAP BusinessObjects Business Intelligence Platform when:
    • The report uses Dynamic Parameter with dynamic List of Values stored on the SAP BusinessObjects BI Server.
    • The report uses Images, Text, or Functions, that are stored on the SAP BusinessObjects Business Intelligence Repository.
    • The report data source is a Business View, and for security reason, it is required to check the Business View security.
    • The report data source is a Universe, and for security reason, it is required to check the Universe security.

Resolution

  • To disconnect a report from the SAP BusinessObjects Business Intelligence Platform it is associated with when the report use:
      
    • Dynamic Parameter associated with dynamic List of Values
      • When opening the report in Crystal Reports, and being prompted to connect to the SAP BusinessObjects BI Server the List of Values comes from, simply click "Cancel". The dynamic parameter(s) will then be converted to static parameter(s), then save the report.  
             
      • Note: Be aware that the parameters that were showing a dynamic List of Values, will now be static.
             
            
    • Images, Text, or Functions linked to the SAP BusinessObjects BI Server
      • Images, Text or Functions are actually part of the report, and it simply look on the server to see if the object has been updated. To not get prompted to connect to the SAP BusinessObjects BI Server, uncheck the option: "Update Connected Repository Object on Open".
            
      • To change the option:
        1. In Crystal Reports, under the menu "File", select "Options..."
        2. In the Options window, under the tab "Reporting", uncheck the option: "Update Connected Repository Object on Open"
           
                     
    • Business View
      • For security reason, it is not possible to disconnect the current copy of the report with the Business View it connects to, but if you connect the report to the SAP BusinessObjects Business Intelligence Platform, then you can save a copy of the report with saved data, and disconnect it by checking the option "Disconnect View Security" when saving a local copy of the report.       • Note: User will not be able to refresh the report after it is disconnected from the Business View. 
              
            
    • Universe
      • For security reason, it is not possible to disconnect the current copy of the report with the Universe it connects to, but it is possible for the SAP BusinessObjects BI Adminsitrator to set future schedule instance of the report to be disconnected by checking the option: "Generate Static Instances for Scheduling",  in the Central Management Console (CMC) for this particular report.       • Note: User will not be able to refresh the report after it is disconnected from the Universe.
