2784326 - Applications in Hired Status are Getting Purged by the System

Symptom

When working with DRTM, applications in Hired Status are being anonymized by the system. The customer doesn't want to purge applications from candidate which were hired in the Job Requisition.

Reproducing the Issue

In Admin Center, go to Data Retention Management
Set a rule to purge inactive applications
Applications in Hired Status will be anonymized even though isn't the expected behaviour.

Cause

It's the expected behaviour from the system to purge applications in statuses that are configured on certain groups. These specific groups will take any status to be purged, even though the status is marked as Hired or Hireable.

Please check the below table in resolution's section.

Resolution

According to the standard system configuration, each status group have a different behaviour when working with Data Retention Time Management. Check the following table for more information:

When the Status Group is…	And the Status Name is…	Result
Withdrawn Statuses	Deleted on Demand By Candidate	The Candidate will be purged, and the application will be marked to be picked up by the next run of the RCM Entity Anonymization job.
	Deleted On Demand By Admin	The Candidate will be purged, and the application will be marked to be picked up by the next run of the RCM Entity Anonymization job.
	Declined DPCS	The Candidate will be purged, and the application will be marked to be picked up by the next run of the RCM Entity Anonymization job.
	Withdrawn By Candidate	The applications in the Withdrawn status will be purged by the DRTM Inactive Application Purge as per the retention period.
In-Progress Statuses	Any	Applications will not be purged.
Forwarded Statuses	Forwarded	Applications will not be purged.
	Invited To Apply	Applications will not be purged.
System Statuses	Default	Applications will not be purged.
	Requisition Closed	This status will be purged if "Consider job application with the status Requisition Closed for purging" is enabled in Manage Recruiting Settings.
	Hired On Other Requisition	This status will be purged if "Consider job application with the status "Hired on Other Requisition for purging" is enabled in Manage Rec Settings.
	Auto Disqualified	The applications in the Auto Disqualified status will be purged by the DRTM Inactive Application Purge as per the retention period.
OnBoard Statuses	Any	The applications in the Onboarded Statuses will be purged by the DRTM Inactive Application Purge as per the retention period.
Disqualification Statuses	Any	The applications in the Disqualified Statuses will be purged by the DRTM Inactive Application Purge as per the retention period. Note: For an application to be purged, it needs to be in Disqualification status. To move applications in bulk to a Disqualification status, you can use the ODATA batch Upsert on the Job Application entity.

To prevent the purge of any applications in Hired Status, you need to build an Applicant Status Pipeline with the status you will set as Hired Status within In-Progress statuses group.

Please note the following:

It's important to remember that changing any Applicant Status Pipeline which is currently in use, could cause several errors. You can build a new Status Pipeline and after the status configuration, select this one as default Status Pipeline.
The Application Purge rule will be based on the Job Posting Country field of the job requisition.
If the customer wants to purge a candidate application that was hired in the company, they can set the status type to Onboard. If they want to keep the data, set the type to In Progress. This has no impact with EC or Onboarding integration since these modules only check the status hireable option: hireable and hired when processing candidate.
Status category has no impact in purging application.
