This KB article will help outline the steps to review usage metric in system.

  • Active User.

Usage Measurement Displayed on Measurement Report

Active User

Total number of users who have an active status AND are NOT identified as a Functional User AND are NOT a Learning Marketplace user in the LMS system AND meet at least one of the following 3 usage criteria:

  1. User has a learning history record for an internal or external course OR
  2. User has enrolled in a course and that course is on the user’s learning plan OR
  3. User has launched a course AND that course is on the user’s learning plan.

"Number of Active Users Using Learning as of" under customer’s report "LMS Usage Metrics".

The total number of individuals with active profiles/status is used as a reflection of customer’s current Active User count. When the total number of active profiles/status is greater than the number of Active User subscribed to in the Order form or other applicable transaction document, this implies noncompliance and it is recommended that you engage with your SAP SuccessFactors Customer Engagement Executive.

Active Functional User

Total number of users who have an active status AND are identified as a Functional User* AND are NOT a Learning Marketplace user in the LMS system, AND meet at least one of the following 3 usage criteria:

  1. User has a learning history record for an internal or external course OR
  2. User has enrolled in a course and that course is on the user’s learning plan OR
  3. User has launched a course AND that course is on the user’s learning plan.

 This number represents the total number of functional use profiles/status

* A user can be identified as a Functional User via the "License User Type" field on the user record.

 

"Number of Functional Users Using Learning as of" under customer’s report "LMS Usage Metrics".

The total number of individuals with functional use profiles/status is used as a reflection of customer’s current Functional User count. When the total number of functional profiles/status is greater than the number of Functional User subscribed to in the Order form or other applicable transaction document, this implies noncompliance and it is recommended that you engage with your SAP SuccessFactors Customer Engagement Executive

Learning Analytics

The number of users in the sum of Active Users and Active Functional Users as defined above.

 

"Number of Active Users Using Learning as of" plus the "Number of Functional Users Using Learning as of" under customer’s report "LMS Usage Metrics".

Steps to Validate Usage (Number of Active Users) in System

Note: Full reporting privileges are required to run this report. The data in the report is computed and stored periodically and not when the report is run. Running the report retrieves previously computed and stored data.

  1. Learning admin side > Reports >
  1. Add "LMS Usage Metrics" in the "Search" box > Click "Submit" or hit "enter" >
  1. Select the "LMS Usage Metrics" (this report belongs to the "System Administration", make sure to have this option selected) >
  1. Set the desired report details and settings > Click "Run Report"/"Schedule Job" > The report will provide metric data for the most recently stored date >
  1. Here is a sample report outcome. In this example, there are 28 Active Users and 0 Functional Users. To calculate the number of Learning Analytics users, add the Active Users and the Functional Users. The total will result in the number of Learning Analytics Users, which would be 28 in this example >

Note: If running multiple productive tenant instances, you will need to run this report in each one, and then add the totals for each of them to calculate the aggregated total number of users. The report is based on data collected each weekend and stored in Learning. It is not a real time report. Inactive or deleted users are not included in the report. If user records are updated, the report will not show the change until the following weekend.
