2789545 - Disallow/Disable User Maintenance Add, Edit and Delete if GDPR functionality enabled for instance

Symptom

  • Add, Edit and Delete features in Legacy ORD User Maintenance are disabled/not available
  • GDPR functionality enabled for instance

Image/data in this KBA is from SAP internal systems, sample data, or demo systems. Any resemblance to real data is purely coincidental.

Environment

SAP SuccessFactors HXM Suite

Reproducing the Issue

  1. Login to the instance
  2. Navigate to Analytics > Admin > User Maintenance
  3. Notice Add user, Delete user buttons are  disabled. In Edit user dialog FullName,Email address, Accessibility flag, Language fields shows read only

Cause

Under Manage Audit Configuration --> "Personal Data Audit" Switch is ON then this implies that the Change Logging is "Enabled" in the instance.

This is an expected behavior If GDPR Change Logging is enabled for the Instance.

If GDPR is in use no maintenance of User details should be allowed in WFA user maintenance - to avoid the change logging requirement.

If the instance has the "Change Logging" switch ON (effectively indicates if GDPR is in use), in WFA User Maintenance it will not be possible to:

  • Add a user
  • Edit a user (technically we should only disallow editing of "personal data" such as email address, accessibility status, name and language but it will be easier to stop ALL edits)
  • Delete a user

Resolution

For GDPR compliance there should be no exception to this rule, i.e even SAP Support or SuccessFactors Admin User will not be possible to edit these values if Change Logging is ON.
