2791216 - How to Permission Document Generation Templates - Employee Central

Symptom

How do we permission what document templates a person can see or generate?

Environment

  • SAP SuccessFactors Employee Central
  • Document Generation

Reproducing the Issue

  1. Admin Centre or Action Search
  2. Search for Generate Document
  3. Search for a template and it is populates all of the documents in the system in the dropdown.

Resolution

This can be done via role based permissions.

Please follow Implementing Document Generation- Enabling Document Generation or the steps below:

  1. Go to the permission role which grants the user access to document generation.
  2. Find the Manage Document Generation Templates permission category.
  3. De-select, select all and all, and tick others instead. Ensure Generate Documents is ticked, or you won't be able to choose any documents.
  4. To choose multiple documents, hold ctrl on your keyboard and choose the document templates you want the role to have permission to.
  5. Click done > save changes > logout and login back in and observe in the generate document tool the templates that appear.

Please note:

  • The permissions in Mange Document Generation Templates under User Permissions is strictly for only generation from the Take Action in PP3 People Profile screens.
  • It does not govern the generate permission for the Document Generation - Generate Document tool in Admin Centre.
  • A user who has the Generate All Documents as Admin permission in Manage Document Generation under Administrator Permissions will be able to generate any document from the Document Generation - Generate Document tool in Admin Centre.
  • This is applicable even if they don't have permission to generate the corresponding template in the User Permissions section.

You need to activate the necessary role based permissions to start using this feature.

 

Procedure

  1. Go to Admin Center  Manage Permission Roles.
  2. Choose the relevant permission role.
  3. In the Permission Settings, choose the Permission button.
  4. Under User Permissions, choose Manage Document Generation Templates.
    You can choose all the document generation templates by selecting the All button, or you can select Others and choose the specific templates you'd like.
    Only Document Generation templates will appear in the list.
  5. Choose Done and Save Changes.

    The Document Generation Template Permissions given for Permission Roles for Employees and Managers are based on the Permission Groups and Target Population provided for the respective Permission Roles. You can find more information regarding the configuration of Permission Roles, Permission Groups and Target Population here: List of Role-Based Permissions.

You have the Manage Permission Roles → Metadata Framework → Configure Business Rules permission.

Allows you to create or edit the content in existing document template. This permission should be given to HR administrators who can update the document templates and email settings.

Manage Permission Roles  Manage Document Generation  Manage Document Template Mapping

Allows you to perform the necessary mapping of dynamic content in the template with the master data. This permission should be given to HR administrators who can update the document template mappings.

Manage Permission Roles  Manage Document Generation  Generate all documents as an admin.

Allows you to generate all documents for all users as an administrator.

Manage Permission Roles  Manage Document Generation  Mass Generate all documents as an admin.

Allows you to generate one document for many users as an administrator.
