2803540 - Need to remove unwanted workflows associated with inactive employees

Symptom

  • Need to remove unwanted workflows which is with some managers for employees who are inactive.

Environment

  • SAP SuccessFactors Employee Central

Resolution

  • Only Initiators can decline workflows.
  • Now inactive users can be searched in "Manage Workflow Requests" tool. Therefore, searching for pending workflows for inactive users is simple by using name or userid in "Requested for" field.

  • Steps to delince workflows not triggered by self. Should have admin role:
  1. Identify the workflows associated with inactive employee. Identify all the sent back and pending workflows associated with inactive/terminated employees using advanced reporting workflow tool.
  2. Go to Manage Workflow Requests admin tool, and search for the workflow one by one with keywords (initiator, status, type of workflow, effective date, etc).
  3. For sent back workflows: Take action on the workflow as admin to change the initiator to admin (themselves). After that the option to decline workflow will appear.

  For Pending workflows: Take action on the workflow as admin and decline the workflow directly.

4. Decline (Withdraw) the workflow.
