2808351 - Alerts in Time Off for Time Account Expiry

• Can you configure the system to send out alerts when a Time Account expires?

• SAP SuccessFactors Employee Central : Time Off

• There is no time off specific trigger event that can be used to trigger alerts for time account expiry. That is only available for employee time object and alerts associated with time off requests.
• Work Around: A work-around is to use 'Trigger MDF Alert Event' to trigger alerts for time account object. But, there are certain caveats associated with it:
• Time Accounts are saved each time an employee applies for leave, or an accrual is posted or a manual adjustment is added. Each save will trigger the post save rule associated with this object. Hence, the rule condition should be written in such a way that multiple alerts are not triggered. E.g if you have an always true rule, each time a save action happens on a time account with alert effective date in the past, the alert will trigger again. Ideally there should be a check (if condition) to ensure that the alert effective date is always in the future.
• After creating the alert rule and assigning it as post save in the time account object, all the existing time accounts in the system will have to be saved again, so that the Alerts are created in the system.
• Extensive testing needs to be performed from the customer's end to ensure that the alert is functioning as it should, and there are no adverse impacts after configuring this alert.

Additional Notes:

• For the alert to trigger to workflow roles like self, manager etc. (User based roles), the field 'Subject User Field' should have 'userId' maintained in it.
• If you need to send multiple alerts per user, please fill the "MDF Alert Type" field. Please go to Manage Data to create the MDF Alert Type per Alert.
