2834652 - Reward & Recognition - Tips and Tricks

Symptom

  • This KBA has been put together by Cloud Product Support to provide Customers and Partners some Tips & Tricks to the use of Spot Awards related features and tools during implementations.
  • The aim is to centralize some of the more frequently encountered Configuration issues and to give some tips and tricks to avoid any unnecessary delays to an Implementation.
  • Please note that this article (and sub-articles) are frequently reviewed and updated by Product Support over time, based on our experiences for new and existing customers.
  • Please do utilize the information provided to ensure that you troubleshoot the issues and/or blocks you are encountering first, before opening a Support Incident as a lot of the issues you may encounter already have solutions.

**Important Notice**

Spot Awards

It is very important that NO data whatsoever is manually deleted via Manage Data for any Reward & Recognition entities.

If this is done, there will be issues throughout the instance while viewing awards which are either approved or in-progress etc.

Additionally, you can NOT delete currency-based awards once you have deleted a program in Manage Data.

It is best practice to deactivate a program via Reward & Recognition rather than manually doing so.

Spot Award Programs

It is best practice that all Spot Award programs are created within the Reward & Recognition admin tool.

This is to ensure sustainability of the programs being created as certain associations are not created when attempting to create a program by direct import using the Import and Export tool.

Enabling Reward & Recognition

You may upgrade to Reward & Recognition via the upgrade center.

Additionally, as a Compensation Admin this can also be accessed via Compensation Home.

Important

Should you have any Compensation Admin permissions which grants you access to Compensation Home, should Reward & Recognition not be enabled, you will see this option.

However, should you NOT have permissions to "Upgrade Center" the page will error but you will see this option.

Spot Award entities

We highly recommend customers to NOT customise or edit columns within any of the Spot Award objects.

For example, should the visibility of a column be changed in spotAward or spotAwardProgram then this can cause potential errors throughout the module.

Also ensure the API Sub Version on award objects are ALL on V1.1.

Object permissions

The only objects which are required to be Secured = Yes are spotAward, spotAwardProgram and spotAwardBudget.

Please do not permission other objects as this can have an affect on nomination workflow.

For example, someone having permission for spotAward program, spotAward however not having spotAwardGuidlines will generate the page to be loading continuously.


Permissions

When implementing reward & recognition there are four roles to be take into consideration.

  • Nominee - View permissions for awards
  • Administrator - Can create and edit existing award programs as well as adjusting budgets etc.
  • Manager - Can view award information for their direct reports as well as sending email notifications once an award is approved.
  • Budget Holder - Can view budgets for self-target population. This will show the budget allocated for his/her reports.
  • Nominator - Can select a program to nominate other employees

NOTE: It is important to create separate RBP roles and permission groups for each of these responsibilities along with their respective target populations.

The following permissions need to be granted for a Nominee. This is the recipient of an award

  • In role Miscellaneous Permissions select the following permissions:
    SpotAward: View
    SpotAwardProgram: View

The nominee role in RBP should only require this one permission to view their awards in Miscellaneous permissions.

On the Target Population granting, you may set this role to be assigned to "everyone" but for access to "self" only

Should this user also be part of the "Nominator" role, then this would work in conjunction with that role. Generally, the nominator role will restrict user to nominate themselves.

This is also outlined in the Nominator role section below.

The following permissions need to be granted to a Administrator.

  • "Configure Business Rules" under Meta Data Framework
  • "Manage Spot Awards Program" and "Manage Spot Awards Reports" under Manage Spot Awards
  • "Manage Currency Conversion Rate Tables" under Manage Compensation
  • "Workflow" and "Pay Component" under Manage foundation object types
  • In role Miscellaneous Permissions select the following permissions:
    SpotAward: View for reporting purposes
    SpotAwardBudget: All selections for the required target population
    SpotAwardProgram: All selections for the required target population

The following permissions need to be grated to a Manager.

  • "Configure Business Rules" under Meta Data Framework
  • "Manage Spot Awards Program" and "Manage Spot Awards Reports" under Manage Spot Awards
  • "Manage Currency Conversion Rate Tables" under Manage Compensation
  • "Workflow" and "Pay Component" under Manage foundation object types to view my team awards
  • "Manager" and "Status" under Employee Data. This is so you can see sent/recent awards.
  • In role Miscellaneous Permissions select the following permissions:
    SpotAward: To view awards sent to their direct reports
    SpotAwardProgram: Permission to view the programs basic columns (Amount, message etc)

  • Set he role target population to be "Granted user's direct reports" or "Only the direct reports in these groups" and select your group".
  • Enable "Exclude granted user from having permissions access to him/herself". This is so they are unable to nomination themselves for an award.

The following permissions need to be grated to a Budget Holder.

  • In role Miscellaneous Permissions select the following permissions:
    SpotAwardBudget: View only required
    SpotAwardProram: Permission to View the programs basic columns (Amount, message etc)

  • For the target population, select the group you wish to grant this role to.

The following permissions need to be grated to a Nominator.

  • "Manager" and "Status" under Employee Data. This is so you can see sent awards.
  • In role Miscellaneous Permissions select the following permissions:
    SpotAward: To view awards sent to their direct reports
    SpotAwardProgram: Permission to view the programs basic columns (Amount, message etc)

Q&A

How many guidelines will be populated while processing nominations?

Historically the number of guidelines populated during nomination would have been 100.
As of December 2020 this value has been increased from 100 to 300 (PTCH-34671). So, if there are multiple guidelines for categories/levels the first 300 will populate within the UI drop down.
