Symptom
Learning Admin would like to remove item(s) from the library(ies) so users are not able to search nor access it on the Learning user side.
Environment
SAP SuccessFactors Learning
Resolution
To remove the libraries from items:
-
Log into HCM > navigate to Learning Administration > Learning Activities > Items >
- Search for the required item and open it >
- Navigate to the Libraries tab >
- Select the Library(ies) that nee to be removed > click on the 'Remove' button (X sign).
It's also possible to remove items directly from the library:
-
Log into HCM > navigate to Learning Administration > Learning Activities > Libraries >
- Search for the required library and open it >
- Navigate to the Items tab >
- Select the Item(s) that nee to be removed > click on the 'Remove' button (X sign).
To schedule a future remove:
- Log into HCM > navigate to Learning Administration > Learning Activities > Items > Libraries
- Add a future date to the library column "Remove from Library On" This is the date after which an item disappears from the library. The item isn’t inactivated. It’s only disassociated with the library.
- Make sure to schedule the APM - Purge Expired Library Items, which removes expired entries.
Please note that currently there is no tool nor configuration to perform such removal in bulk. That is, it needs to be done manually. Alternatively, to have a different system behavior, it would be possible to have an enhancement request created for it (as per KBA 2090228), where the Learning Product Management team can further review and assess the requested functionality to be considered in a future release.
Moreover, is possible to control the item visibility on Libraries through the SHOW_IN_CATALOG setting, via Item Connector. See more details on this setting at Course (Item) Data Connector File Columns. Please note that Learning connectors can import thousands of entities in the system, so we highly recommend that customers engage with our Professional Services organization or a certified Learning implementation partner before attempting to use connectors or any data import. Additionally, it's recommended to always test in a Stage/Preview tenant first.
