2883649 - Error Message: 'Project and Task Information cannot be Changed' When Updating Planned Expenses and Planned Revenues Data Using Microsoft Excel

You are trying to update the Planned Expenses and Planned Revenues data via Project Expense and Revenue Planning using Microsoft Excel® functionality and receiving the below error message:

Project and task information cannot be changed

SAP Business ByDesign

1. Go to the Cost and Revenue work center.
2. Go to the Projects view.
3. Show All Projects.
4. Find 123 (123 represents the Project ID).
5. Select the project.
6. Click Export -> Maintain Project Expense and Revenue in Microsoft Excel®.
7. Excel is downloaded successfully and with two worksheets Project Expense and Revenue worksheet and Query Projects worksheet.
8. Go to the Query Projects tab and enter Project ID: 123 (123 represents the Project ID).
9. Click on Query button on the right screen of excel to fetch the project details.
10. You need to logon to the SAP Business ByDesign  and provide the Logon details.
11. Go to the Project Expense and Revenue tab in the worksheet.
12. Click the "+" sign on the left of the Project name, left of the row number (6) to expand all project tasks.
13. Enter the amount in Planned Expenses and Planned Revenues fields in the work sheet.
14. You can see the error message : Project and Task information cannot be changed.

You are entering Planned Expenses or Revenues data directly in the excel whereas you need to add a new row by selecting project task for which the expense and revenue has to be updated to avoid the error message.

You can add an expense or revenue by following by below steps:

1. Go to the Cost and Revenue work center.
2. Go to the Projects view.
3. Show All Projects.
4. Find 123 (123 represents the Project ID).
5. Select the project.
6. Click Export -> Maintain Project Expense and Revenue in Microsoft Excel®.
7. Excel is downloaded successfully and with two worksheets Project Expense and Revenue worksheet and Query Projects worksheet.
8. Go to the Query Projects tab and enter Project ID: 123 (123 represents the Project ID).
9. Click on Query button on the excel to fetch the project details.
10. You need to logon to the SAP Business ByDesign  and provide the Logon details.
11. Go to the Project Expense and Revenue tab in the worksheet.
12. Click the "+" sign on the left of the Project name, left of the row number (6) to expand all project tasks.
13. Selecting the project or task row and then right click -> insert to add a new row in the excel.
14. Inserting a row manually in the excel and selecting the column type as Expense or Revenue.
15. You need provide mandatory details: Example: Project ID - Name, an Expense or Revenue Income Group, amount in Planned Expenses and Revenues fields and Currency.
16. Click on Update on the right of the screen of excel to to upload the expenses and revenues information to the SAP Business ByDesign system.

You can view the uploaded the data in the SAP Business ByDesign system in the below steps:

1. Go to the Cost and Revenue work center.
2. Go to the Projects view.
3. Show All Projects.
4. Find 123 (123 represents the Project ID).
5. Click on Edit tab and select View All.
6. Go to the Project Plan> Gantt Chart.
7. Choose the respective Project Task and Select Expenses or Revenues tab to view the Planned Expenses or Planned Revenues.
