2899209 - How to Assign Manager Review Step in ONB to Responsible Groups

Symptom

Some users have the requirement to assign Manager Review Step in ONB to Responsible Groups during Onboarding and Offboarding processes

Environment

SAP SuccessFactors Onboarding 

Reproducing the Issue

  1. Initiate the ONB from RCM/External ATS
  2. Check if the Activity shows assigned to the Responsible Group

Resolution

First, create the Responsible Groups, defined as a distribution list consisting of people responsible for accomplishing an assigned task.

  1. Go to Admin Center, in the tools search field, enter Onboarding 2.0 General Settings.
  2. Access the tool by clicking on the search result.
  3. Under Responsible Groups, choose New Group

    Note
    : If you have existing responsible groups, you can also edit/delete them.

  4. Enter a group ID and Group Name.
  5. To create translated versions of the group name, click on Translations.
  6. Add participants to the responsible group by:

    Role: Select a role from the dropdown to add all the users belonging to the selected role.
    User: Search and add individual users to the group.
    Dynamic Group: Select a dynamic group from the dropdown. To create a dynamic group, click Create New Group.

  7. Click Submit.
Next, create a Business Rule in order to assign the Responsible Group to Onboarding/Offboarding Process.
 
It's necessary to create a business rule with the scenario Assign Responsibility Group for New Hire Data Review and create the condition to it.
  1. Go to Admin Center.
  2. In the Tools Search field, enter Configure Business Rules.
  3. Access the tool by clicking on the search result.
  4. The Business Rules Admin page is opened, where all business rules created in the system are visible.
  5. To create a new business rule, click on Create New Rule.
  6. Select the Assign Responsibility Group for New Hire Data Review scenario, available under Onboarding 2.0
  7. As per business rule requirements, enter a value for Rule Name, Rule ID, and select a Start Date. Also, select the Process Type based on whether you are using this rule for Onboarding or Offboarding.
  8. The Rule ID automatically picks up the value entered in the Rule Name; however, it can be changed.
  9. Define the business rule by setting up conditions as required.
  10. Click Save.
