2901348 - Error " Worker: <worker ID>- UserName is already assigned to a different user" is displayed when uploading Workforce Persons Using Manage Workforce App

The error message " Worker: <worker ID>- UserName is already assigned to a different user" is displayed in the Monitor Employee Imports app after the workforce person is uploaded to the SAP S/4HANA Cloud Public Edition system using the Manage Workforce app.

Upload one or more workforce persons using the Manage Workforce app

During the import of a workforce person, the UserName column in the EmployeeDataTemplate CSV file is filled with an alias name that is already being used in the SAP S/4HANA Cloud Public Edition system. The alias of the user ID must be unique in the system.

Note: The following solution is provided with a precondition that the workforce person data is uploaded to your SAP S/4HANA Cloud Public Edition system only by using the Manage Workforce app.

Option 1.

Use another alias from the UserName column for the workforce person that you are trying to upload.

Option 2.

If you no longer want the workforce person data with a specific alias in your system, you can remove the workforce persons completely from your SAP S/4HANA Cloud Public Edition system. For detailed steps about how to delete a workforce person completely, refer to KBA 2702011 - Deleting Employee & Contingent Worker data in SAP S/4HANA Cloud Public Edition.

Option 3.

Upload the old workforce person again to change the alias if:

• You cannot or do not want to delete the workforce person that already has the alias assigned as mentioned in Option 2.
• You want to change the alias of the existing workforce person so that the new workforce person to be uploaded can be assigned with the expected alias.

Make sure all the field values in the CSV files are the same as they were before. Only the UserName column should have the new alias when you upload again.

Note:

We do not recommend changing the user name directly in the Maintain Business Users app. For more information, refer to KBA 2700434 - User Alias is updated automatically by SAP_SYSTEM in SAP S/4HANA Cloud Public Edition.
