2908242 - Error: “Changes will lead to license overconsumption after DD.MM.YYYY” While Migrating Employee Data

Symptom

You are migrating the Personnel Administration data for Employees using the migration tool. Those employees that are successfully migrated are displayed in the list of Standard Self-Service Users in the User Subscriptions view in Service Control Center workcenter. But for few records, during the migration, you receive an error:

Changes will lead to license overconsumption after DD.MM.YYYY

Environment

SAP Business ByDesign

Reproducing the Issue

Scoped the feature:

  1. Go to the Business Configuration work center
  2. Select the Implementation Projects view
  3. Select the Edit Project Scope button of the implementation project
  4. Go to Review Questions step
  5. Built-in Services and Support
  6. System Management
  7. User and Access Management
  8. Scoped the question “Do you want to prevent an overconsumption of user licenses?”
  9. Completed the scoping by clicking on Review and Finish

 

Migrate personnel administration data using the below steps:

  1. Go to Business Configuration work center
  2. Select Implementation Projects view or Overview
  3. Search and Open the activity Migration of Employee Data – XYZ (where XYZ represents a country)
  4. Choose Migrate personnel administration data using the migration tool
  5. Execute Migration for the respective Migration File with migration mode Add new records
  6. You receive the error 

Cause

All the migrated employees are being counted as Standard Self-Service Users. This is the designed behavior.

Resolution

Any employee hired in the system will have a business user with the mandatory work center views will directly be assigned to Standard Self-Service Users. This user is in validity period and can log in to the system and therefore, the user is counted in the license calculation. If you do not want any user to be part of license consumption, then that user can be locked from the screen.

If the number of active users exceeds the number of licensed users, either adjust the number of users assigned to work centers and views or request additional user licenses. To request more user subscriptions, contact your SAP Business ByDesign representative, or your SAP partner.
