2911304 - New Admin UI - User Entity Fields no longer editable

Symptom

  • As of 1H2025, admins are no longer able to edit primary manager and Organization in Learning Administration
  • As of the b2005 (First Half 2020) release, a new Learning Administration User Interface is available, many changes have occurred to entities in the product.
  • This KBA lists down the User Entity fields that are no longer editable along with the scenarios of why the fields cannot be modified.
    Admin may see below message on User Entity.
    "Certain fields on the page are read-only because they contain HR data and should be maintained in your core HR system of record. If you wish to make updates to these fields, please do so in the SuccessFactors core HCM application. As an alternative, you can use the Learning data import tool to make these updates"

Resolution

As the new Learning Administration builds a more fluid integration with Platform, the non-native (or integrated) user will be managed from the Platform and will be available as a read only within the New Learning Administration application, which simply means integrated users data will be non-editable in the new SAP SuccessFactors Learning interface.

Below are the conditions when the user data will be editable or not:

If Learning user has Person GUID (identifier passed from BizX/Foundation) AND shopping account type = internal: 

  • All Personal Info fields on the user record will be read only
  • All Employment Info fields on the user record will be read only
  • Learning specific fields will be editable such as Domain
  • Security fields do not appear

If Learning user has Person GUID (identifier passed from BizX/Foundation) AND shopping account type = external

  • All Personal Info and Employment Info fields on the user record will be editable
  • Some fields are read only such as Related Admin
  • Security fields do not appear

If Learning user Person GUID does not exist (the account only resides in the LMS), (regardless if shopping account is internal or external)

  • Some fields are read only such as Related Admin 
  • Learning specific fields will be editable such as Domain
  • Security fields appear

If the user was incorrectly created as Integrated (Source Type = Platform) and it's desired to have the fields editable again as well as the user converted to Learning-Only

  1. Change the User Source Type from Platform to Learning using the Import Data tool;
  2. Remove the PERSON_GUID value using User Connector and updateOnNull.
  3. Change the user's Shopping Account to EXTERNAL.
  • All Personal Info and Employment Info fields on the user record will be editable afterwards
  • Some fields are read only such as Related Admin

NOTES: 

  • PERSON_GUID field is passed through the Employee Export job which should feed into the SF User Connector job. If using the User Connector and Integration Center to create the files, it is advised to use the Person ID Connector. Information on the Person ID Connector can be found on the UA Guide (login may be required before being able to access the link). Assistance with the Person ID connector should be consulted with a Partner.
  • Copy and Delete in the Actions menu will also be missing if the user is managed in BizX/Foundation.
