2920188 - How to report on applicant status changes - Recruiting Management

Symptom

This article provides information on how to build a report to get information on candidate application statuses, as well as who sent them to that status and when.

Environment

SAP SuccessFactors Recruiting Management - All versions

Resolution

  • This report will be built using the adhoc reports capability. 
  • Feel free to perform minor adjustments to this report structure, so it may better suit your company needs.
  1. Create a new adhoc report. Select the table type and Recruiting V2 as the domain.
  2. For the columns to be used, we recommend:
    1. Job Requisition > Job Req ID
    2. Candidate > First Name
    3. Candidate > Last Name
    4. Application Status Audit Trail > Application ID
    5. Application Status Audit Trail > Application Status
    6. Application Status Audit Trail > Created By
    7. Application Status Audit Trail > First Name
    8. Application Status Audit Trail > Last Name
    9. Application Status Audit Trail > Created Date
    10. [OPTIONAL] Application Status Audit Trail > Skipped Status
  3. In the adhoc Columns tab, click "Sort Columns" and add sorting levels as described in the below image. This will sort your report results, so you will first see a single requisition; then all the records for a single applicant within that job requisition; then the next applicant and once all the applicants for that job requisition are displayed; then the next job requisition.
  4. In the adhoc Configuration tab, click "DataType Configuration" and change the "Created Date" from "Date" to "Timestamp". This will allow you more precise information when it comes when the status changes were performed.
  5. Save and generate the report the way you like.

FOR BETTER UNDERSTANDING ON EACH APPLICATION REPORT COLLUMN:

  • Application Status Audit Trail > Application ID will provide you the application ID. Which is a system unique number, based on the candidate ID and the job requisition ID.
  • Application Status Audit Trail > Application Status will provide you the status name for which the candidate was moved to.
  • Application Status Audit Trail > Created By will provide you the username of the person that performed the applicant status change.
  • Application Status Audit Trail > First Name will provide you the First Name of the person that performed the applicant status change.
  • Application Status Audit Trail > Last Name will provide you the Last Name of the person that performed the applicant status change.
  • Application Status Audit Trail > Created Date will provide you the date (and time) of when the applicant status change action was performed.
  • Application Status Audit Trail > Skipped Status will provide you information as if the applicant was indeed sent to that application status (not skipped) or if the applicant was actually sent to a status that is further in the application pipeline and other status among those were skipped (skipped). IMPORTANT REMARKS:

  • The application columns called "Last Status Change Date", "Last Status Changed By" and "Last Status Changed By Proxy" will always provide you information on the latest status change that was performed in that application. Regardless if you had several other status changes performed to the same candidate, all the report entries will contain the same information on these columns.
