2936395 - Form Routing for Inactive Users

Symptom

If the user is made inactive while the Performance form is in the user’s inbox, form is not automatically routed to next available route map step.

Environment

SAP SuccessFactors Performance Management

Reproducing the Issue

1. Launch form and navigate to the step of the user that will be deactivated.
2. Deactivate the user while the form is in the user’s inbox.

Results: User was deactivated, and form remained in the user’s inbox. Form was not routed to next available route map step.

Cause

It is expected system behaviour. When a user is made inactive, the form does not automatically move to the next available route map step. (With an active user).

Resolution

If the user has been deactived, there is no option to remove the user's form automatically. You need to remove it manually.
The form cannot automatically be routed to a Completed status. An idea for this is listed on Customer Influence and you can add your vote to

1.If you want to remove inactive user‘s form when the user is set to Inactive
   To remove forms via Employee Import or SFTP and when your instance has Employee Central (vis HRIS sync), enable the following settings:

  • Remove Inactive Employee's In-Progress Documents
  • Remove Inactive Employee's Completed Documents

   To ensure documents are removed for an individual template, ensure the below options are unchecked in Form Template Settings:

  • Do Not Remove Inactive Employee's In-Progress Documents
  • Do Not Remove Inactive Employee's Completed Documents

2.You could use route form to move form from an inactive user's inbox, and delete form to delete inactive user's form.
   If you don't know the form id of inactive user's form, you could get it via adhoc report. Please ensure the option include inactive users in People tab is selected before you run the report.
