2936673 - Cannot Find an Employee in the Substitutions View

Symptom

You are trying to set up a substitution, but when you try to enter an employee, it is not found by the system.

Environment

SAP Business ByDesign

Reproducing the Issue

  1. Go to the Application and User Management work center.
  2. Access the Substitutions work center view.
  3. Click the New button, then select Substitutions.
  4. Enter an employee in the Employee or the Substitute field.
  5. Press Enter.
  6. Employee is not found.

Alternatively:

  1. Go to the Application and User Management work center.
  2. Access the Substitutions work center view.
  3. Click the New button, then select Substitutions.
  4. Click the value help for the Employee field.
  5. The relevant employee is not listed.

Cause

There can be multiple causes for this, such as, for example, if the employee is not active in the Personnel Administration work center (or Employee Data work center, if you're using replication).

If this is not the case, the cause can be that the employee's associated business user is not assigned to a Business Role.

Resolution

Substitutions in the system work by providing access rights to one employee from another employee's business role. As such, both of the involved employees' respective business users need to be assigned to a business role for the substitution to be enabled.

You can assign business roles to users in the Application and User Management work center, under the Business Roles work center view or within the business user's record in the Business Users work center view.
